Job Title: Executive Administrative Assistant

Location: Bedford, Nova Scotia
Job Type: Full-Time
Schedule: Monday - Friday

Salary: $24/hr

Job Overview:

We are currently recruiting for an Executive Administrative Assistant on behalf of a well-established law firm serving clients throughout the Halifax Regional Municipality. This is an excellent opportunity for an organized, detail-oriented professional who thrives in a fast-paced environment and takes pride in providing exceptional client service.

The successful candidate will play a key role in supporting legal professionals across a variety of practice areas while ensuring files, communications, and daily operations run smoothly and efficiently.

Responsibilities:

  • Provide administrative and legal support to lawyers in the management of their practices
  • Greet clients, respond to inquiries, and maintain professional client communications
  • Prepare, organize, and process legal documents, court filings, correspondence, and reports
  • Draft letters and assist with document production, copying, binding, courier packages, and email correspondence
  • Coordinate calendars, schedule meetings, appointments, and client consultations
  • Maintain organized physical and electronic filing systems
  • Conduct client intake procedures, collect required documentation, and update file information
  • Assist with billing, data entry, and general office administration
  • Provide backup support to other legal assistants during absences and vacation coverage
  • Perform additional administrative duties as required

Requirements:

  • 3-5 years of experience in an administrative role
  • Strong proficiency with Microsoft Office 365 and general office technology
  • Exceptional attention to detail and commitment to accuracy
  • Excellent organizational and time-management skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong verbal, written, and interpersonal communication skills
  • Professional, dependable, and client-focused attitude
  • Ability to work independently while contributing to a collaborative team environment
