Accounts Payable Specialist (Intermediate)

Job Summary

We are seeking a professional, detail-oriented, and proactive Accounts Payable Specialist to join our accounting team at our head office. This role serves as the primary point of contact for payables-related activities across both Canadian and U.S. operations. The successful candidate will thrive in a fast-paced, deadline-driven environment and bring strong technical AP expertise, particularly within a complex, multi-entity setting.

Key Responsibilities
  • Receive, review, and validate invoices and expense claims for completeness, accuracy, and policy compliance; investigate and resolve discrepancies.
  • Prepare invoices for processing, including accurate GL coding, and enter transactions into the ERP system.
  • Collate supporting documentation for high-volume payment runs.
  • Execute scheduled payment runs and ensure timely, accurate distribution of payments.
  • Ensure adherence to established Accounts Payable policies, procedures, and internal controls.
  • Reconcile complex prepayments, including those related to international suppliers.
  • Maintain the accuracy and integrity of Accounts Payable data.
  • Perform regular vendor statement reconciliations and resolve variances.
  • Support foreign currency cash flow planning related to payables.
  • Maintain organized and compliant AP filing and documentation systems.
  • Communicate effectively with vendors and internal stakeholders to resolve inquiries.
  • Monitor outstanding purchase order receipts and ensure timely processing and three-way matching.
  • Prepare Accounts Payable reports and analysis as requested by management.
  • Assist with the implementation and optimization of expense management platforms.
  • Reconcile and post corporate credit card transactions.
  • Support month-end close activities related to Accounts Payable.
  • Assist with annual audit requirements.
  • Contribute to continuous improvement initiatives within the AP function.
  • Support ad hoc accounting and administrative tasks as required.
Required Experience & Skills
  • 2+ years of progressive Accounts Payable experience with a solid understanding of AP principles and best practices.
  • Experience working with international vendors, manual reconciliations, and PO-based systems with three-way matching.
  • Proven experience reconciling complex prepayments, vendor credits, inventory-related invoices, and corporate credit cards.
  • Experience processing a high volume of invoices (50+ per week), particularly related to products and inventory.
  • Background in a mid-sized or complex organization with multiple business units and multi-currency transactions.
  • Experience supporting both Canadian and U.S. payables with a basic understanding of tax differences.
  • Intermediate Excel skills, including pivot tables and lookup functions.
  • Experience working within a fully integrated ERP environment involving purchasing, inventory, and reconciliations.
Additional Assets
  • General knowledge of accounting principles.
  • Experience in an inventory-based environment (manufacturing, distribution, or similar).
  • Exposure to freight payables.
  • Experience with expense management platforms (e.g., Concur or similar).
  • Experience with ERP systems such as Syspro or comparable platforms.
  • Familiarity with automated three-way matching and PO workflows.

Pay and Benefits

The pay range for this position is $52000.00 - $62000.00/yr.
