Position Summary
Orillia Cardiac Care is seeking a Medical Office Assistance (MOA) to join our dynamic team.
The idea candidate will be organized, empathetic, and capable of managing a fast-paced
clinic front desk. While ensuring a smooth and efficient experience for our patients, the
successful candidate will also play a vital role in ensuring a successful operation of our front
reception to support the Cardiologist and allied healthcare professionals belonging to the
Orillia Cardiac Care team. The position requires strong administrative skills, proficiency in
working with electronic medical records, and a commitment to delivering high-quality
patient care.

Duties and Responsibilities
• Greet patients warmly and assist them with check-in and check-out processes
• Perform front desk operations, including but not limited to, answering phone calls, responding to patient inquiries, organizing incoming faxes/emails, collecting/distributing mail and other duties as assigned by the office manager with professionalism
• Schedule consultation and follow up appointments for the physician, schedule diagnostic tests with the clinic Sonographer and ECG technician and maintain the corresponding scheduling calendars efficiently
• Handle electronic medical records (EMR) with accuracy, ensuring all patient information is up to date, that the physician is prepared with all required patient information prior to appointment, and ensure that the best practices of patient confidentiality are implemented
• Coordinate and liaise with cardiologists, technicians and referring physician offices to facilitate patient care, referrals, prescription requests, medical record requests, prior authorizations and follow-up services
• Maintain confidentiality in accordance with PHIPA (Personal Health Information Protection Act) while upholding clinic policies and procedures
• Utilize software, including EMR (specifically Arya EHR), Adobe, Phone Systems, Security Systems, printers, scanners and other implemented software where required
• Maintain cleanliness and organization of the front office area and other office maintenance tasks as directed by the office manager to assist with upkeep of the clinic
Experience and Qualifications
• Diploma/Certificate in Medical Office Administration or related field
• Minimum 1–2 years of experience in a medical clinic or hospital setting (preferably in Cardiology or Internal Medicine)
• Familiarity and proficiency with electronic medical records (EMRs); experience with Arya EHR is preferrable.
• Proficiency in operating phone systems and other office equipment
• Strong administrative skills with attention to detail and the ability to stay organized and to multitask effectively
• Excellent communication skills, both verbal and written, to interact professionally with patients and staff
• Ability to maintain a calm, professional demeanor and an ability to demonstrate effectiveness with de-escalation practices in a busy clinic
