We are currently seeking an Administrative Assistant IV to join our Legal and Regulatory team in a permanent position. Reporting to the Director of Regulatory Planning & Compliance, you will be responsible for providing a high level of administrative support to the team.
Key elements of this role include:
As an Administrative Assistant IV, you will:
- Create and edit documents, spreadsheets, and presentations.
- Format and fill regulatory documents.
- Prepare reports and department financial data.
- Process invoices for payment and review payroll time entry.
- Assist in the development and maintenance of standard office procedures.
- Maintain filing systems and SharePoint sites.
- Arrange meetings and events, manage calendars and e-mail as well as make travel arrangements.
- Take meeting minutes and track action items.
- Department lead for the Safety program, including tracking and coordinating quarterly meetings
- Lead Regulatory filings with Nova Scotia Energy Board.
- Track communications and emails from regulatory agencies.
- Schedule regular weekly departmental meetings and track responsibility for Safety, Health and DEI Moments.
- Quality assurance checks for daily filings - proofreading and attention to detail required.
You will be responsible for personal safety and that of co-workers by observing and ensuring compliance with all Occupational Health and Safety Rules and Regulations.
These skills will make you successful:
You recognize yourself in most of the following competencies, and where possible possess the skills and experience listed below:
- You have a Grade XII education or equivalent and/or office administration training. Equivalent experience or certifications will also be considered. A university degree would be an asset.
- A minimum of 3 - 5 years of administrative support experience.
- You have a good working knowledge of various software packages, preferably MS Office 365 (i.e. Word, Excel, SharePoint) as well as Adobe Pro, Invoice Express and Oracle.
- Accounting would be a definite asset.
- You have a thorough knowledge of current office procedures and have proficient typing and computer skills.
- You must demonstrate your commitment to personal development.
- You have effective communication and organizational skills.
- You are a self-starter who has the willingness and ability to learn new processes and will become competent in the applications required for this position.
- You have strong analytical and quantitative skills and are attentive to detail.
- You are a team player and possess strong interpersonal skills.
