The Home Construction Regulatory Authority (HCRA) is a not-for-profit corporation that is designated by the provincial government of Ontario to administer and enforce the New Home Construction Licensing Act, 2017 and associated regulations. WHAT THE POSITION IS:

We are looking for an experienced Executive Assistant to support the efficient management of the CEO & Registrar's Office. This role includes a wide range of administrative and executive support tasks, such as maintaining the CEO & Registrar's calendar with precision, managing deliverables, overseeing document administration, handling expense tracking and processing, coordinating travel arrangements, and serving as a key liaison with stakeholders. While the Executive Assistant is responsible for managing the day-to-day administrative tasks with unparalleled precision, they also play a pivotal part in the strategic functioning of the office. The role is entrusted with acting as a liaison with senior leaders to ensure the CEO's priorities are managed efficiently without compromising direct communication or information flow to the CEO & Registrar. The Executive Assistant will provide support in drafting communications & other documents, as well as reviewing & providing feedback on materials, as delegated by the CEO & Registrar

A significant part of the work will be dedicated to board support, underscoring the critical nature of this role. The Executive Assistant will act as the primary point of communication between the Board of Directors and the organization, ensuring that all communications are clear, timely, and effective. This includes the comprehensive management of board meetings—from drafting agendas based on direction from and in collaboration with the CEO, to collecting and preparing high-quality meeting materials, and from coordinating logistics to meticulously recording minutes. The role ensures that the Board of Directors has all the necessary support to function effectively, reflecting the organization's commitment to governance excellence.

WHAT SUCCESS LOOKS LIKE:

Success in this role means demonstrating exceptional organizational skills, with a keen ability to manage multiple priorities seamlessly. The ideal candidate will have a proactive approach, anticipating the needs of the CEO & Registrar and the Board of Directors, and taking initiative to address them efficiently. With outstanding communication skills, you will ensure clarity and effectiveness in all interactions, both internally and externally. Your ability to maintain confidentiality and exercise discretion in handling sensitive information will be paramount.

Ideal candidates are highly professional, possess a strong work ethic, and are committed to upholding the highest standards of conduct. They are detail-oriented, with a sharp focus on quality and accuracy in all aspects of their work. Strong problem-solving skills, the ability to make informed decisions quickly, and the capacity to work under tight deadlines are essential. Competency in using MS Office Suite and virtual meeting technologies, along with an aptitude for document management and standard administrative practices, will enable you to deliver outstanding support.
