ResponsibilitiesThis role offers a balance of administrative responsibilities and hands-on support, dividing your time between processing warranty claims, managing repair orders and maintaining accurate records, and supporting the team and daily operations of the Service and Parts departments.
  • Prepare, submit and track warranty claims, ensuring documentation is complete and meets manufacturer requirements.
  • Follow up on outstanding or rejected warranty claims, resolve discrepancies and track payments.
  • Process and review repair orders, estimates and invoices for accuracy and timely completion.
  • Maintain organized records and monitor outstanding paperwork to keep department administration up to date.
  • Support the day-to-day operations of the Service and Parts departments, including appointment scheduling, shop workflow and technician workloads.
  • Coach and support service advisors and parts team members, encouraging teamwork and accountability.
  • Build strong customer relationships and address concerns promptly and professionally.
  • Help monitor department performance, identify opportunities for improvement and support sales and profitability goals.
  • Support parts availability and inventory management in collaboration with the parts team.
  • Help maintain a safe, organized workplace and uphold dealership and manufacturer standards.

What You Bring
  • Experience in automotive service, parts or fixed operations.

  • Previous supervisory or leadership experience is an asset.

  • Strong customer service skills and the confidence to handle challenging situations.

  • Excellent organization, communication and problem-solving skills.

  • An understanding of shop workflow, repair orders and dealership processes.

  • A proactive approach and willingness to jump in wherever support is needed.

  • Comfort using dealership management systems; experience with PBS is an asset.

  • A valid driver's licence and acceptable driving record.
