The Housing Coordinator reports to the Manager, Shelter Services and Affordable Housing, and is responsible for comprehensive operational and functional oversight of YW Taylor Family Home. This role is not only responsible for the maintenance and functionality of the property, but also for fostering a vibrant, cohesive, and empowered community within. Key tasks include direct oversight of property maintenance, managing tenancy applications, showings and rent collection, effective resident communication, managing tenant crises, and facilitating resident-led community initiatives. Furthermore, this role involves stewardship of a community building grant, leveraging it to maximize community engagement amongst tenants. This role will also work collaboratively with shelter housing navigators to support housing shelter residents and supporting transitions from shelter to YW Taylor Family Home whenever possible.

This is a full-time position working 37.5 hours/week; Monday- Friday. 1-2 Saturdays will be required per month to be flexed in consultation with Manager.

WHAT YOU'LL DO:

  • Process and evaluate tenant applications, including an in-person interview with eligible applicants, income verification, showings and reference checks.
  • Make tenancy recommendations to the Manager for review and final approval.
  • Schedule and conduct property viewings for potential tenants.
  • Facilitate lease signings, explaining terms clearly to new tenants.
  • Ensure tenants obtain appropriate tenant insurance and connect utilities on time as per lease agreement.
  • Facilitate parking and pet applications and ensure that all pets meet eligibility requirements.
  • Ensuring tenants are aware of the nature of Taylor Family Home, housing case management requirements and conditions and considerations around shared space with YW Crisis Shelter.
  • Effectively manages crisis and conflict between tenants and works proactively to mitigate crises and conflict.
  • Work collaboratively with Facilities team to regularly review security measures, including CCTV, door access controls and alarm systems.
  • Coordinate and collaborate with shelter leadership to ensure security personnel has all necessary training.
  • Conduct regular security audits to identify and rectify potential vulnerabilities.
  • Ensure all potential and current tenants are aware of and understand the scope of security.
  • Evaluate the need for repairs and maintenance through regular property walk throughs and during scheduled/unscheduled unit inspections.
  • In collaboration with Facilities team, supervise maintenance tasks and ensure completion within set deadlines.
  • Ensure requests for unit turnover maintenance and cleaning are provided to facilities and booked for move out dates to reduce turnover time.
  • Conducting regular data auditing to ensure that all relevant documentation is up to date, accurate and on-file.
  • Ensuring lease documents are completed fully and witnessed for legal and regulatory compliance and to reduce organizational risk.
  • Ensure all grant related documentation and reporting is completed in a timely manner, accurately and with strong attention to detail.
  • Assist Manager with all data collection and reporting related to the program.
  • Ensure timely collection of rents (by the 5th of each month), follow up with third party rent payments, and handle any delinquencies with discretion.
  • Assist Manager with analyzing and forecasting property related expenditures and revenues.
  • Conduct monthly tenant meetings where tenants can connect, share challenges and conflicts and concerns can be mediated.
  • Provide a tour of the building, including common areas, and ensure tenant is informed of unique nature of Taylor Family Home, shared space with YW crisis shelter and tenant behavioural expectations.
  • Establish and maintain a clear line of communication between tenants and management using newsletters, bulletin boards and digital platforms.
  • Draft a clear plan for the grant's utilization, ensuring funds are used effectively to promote community-building initiatives within the building, and in the local community.
  • Initiate and oversee the formation of the Catalyst Collective – a tenant led advisory committee, ensuring a diverse representation of residents.
  • Provide necessary training, resources, and mentorship to committee members, enhancing their leadership and organizational skills.
  • Collaborate closely with the committee to translate their recommendations into actionable initiatives.
  • Foster and contribute to a culture of inclusion and equity in a diverse work environment; understand and recognize that individual differences significantly contribute to YW Calgary's success in its programs and workplace.
  • Integrate diversity, equity, and inclusion principles into one's role, work, and engagement with others, as aligned with YW Calgary's values and Practice Framework.

  • Understand and remain current with YW Calgary Health, Safety and Wellness policies, practices and protocols and ensure work is performed in alignment with YW's culture.
  • Inform team members and leaders to stop any unsafe work practices immediately to create awareness and injury/illness prevention.
  • Report any hazards or incidents immediately to your leader in accordance with YW Calgary's incident reporting requirements to help ensure pro-active risk mitigation and management in compliance with legislative requirements (Occupational Health & Safety, Workers' Compensation Board, etc.

WHAT YOU'LL BRING:

  • A clear Police Information Check, including a Vulnerable Sector Search, and an Intervention Record Check is required upon commencement of employment.
  • Bachelor's degree in Social Work, community development, human services, or a related field.
  • Minimum of 3 years' experience in the housing field, including property management and tenant relations
  • Familiar with the Residential Tenancy Act (RTA) and other housing regulations and legislations
  • Strong understanding of the local housing market and working relationships with Landlords and other housing organizations.
  • Hands on experience mediating conflicts, preferably within a community or housing environment with certification in conflict resolution considered an asset.
