POSITION PHILOSOPHY

The Scheduling Coordinator works within the HR team to establish day-to-day coordination of staffing schedules. This role helps ensure appropriate staffing levels are maintained to support safe, efficient operations. The Scheduling Coordinator works collaboratively with the interdisciplinary team to fill shifts, address scheduling gaps, and respond to last-minute changes. This position offers flexible hours.

PERFORMANCE REQUIREMENTS

  • Assist with creating, maintaining, and updating staff schedules in accordance with operational needs and collective agreements/policies
  • Fill vacant shifts by contacting available staff and coordinating replacements for sick calls, leaves, and absences
  • Monitor staffing levels to ensure adequate coverage at all times
  • Communicate schedule changes promptly and clearly to staff and leadership
  • Maintain accurate scheduling records and documentation
  • Support payroll processes by ensuring schedules and hours are correctly entered and tracked
  • Respond to scheduling inquiries from staff in a timely and professional manner
  • Collaborate with the interdisciplinary care team to anticipate staffing needs
  • Assist with onboarding scheduling for new hires (e.g. orientation shifts, initial rotations)
  • Adhere to organizational policies, procedures, and confidentiality standards

QUALIFICATIONS

  • Previous scheduling or administrative experience preferred (healthcare or long-term care setting considered an asset)
  • Strong organizational and time management skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent communication and interpersonal skills
  • Proficient in scheduling software and Microsoft Office applications
  • Knowledge of staffing patterns, union agreements, and labour standards (asset)

Hours Of Work

  • Rosecrest Communities provides service 24 hours a day, 7 days a week. Hours of work will reflect operational requirements with the goal of providing safe Resident care.
