The Opportunity

Job Title: Service & Collection Coordinator

Location: Halifax, NS

Employment Type: Regular, Full Time

Closing Date: September 24, 2026

Overview:

We are seeking a motivated and customer-focused Service & Collection Coordinator to support service operations, customer account management, collections, and contract negotiation. This role plays a key part in ensuring efficient service delivery, timely collections, and lease buyout administration for residential and commercial customers.

Key Responsibilities

  • Coordinate service calls, preventative maintenance, repairs, and equipment replacement activities.
  • Issue purchase orders, process contractor invoices, and maintain service records.
  • Manage contractor communications, compliance documentation, and maintenance schedules.
  • Validate the contractor invoices with service purchase orders and send to operations director for approval.
  • Monitor aging reports and manage delinquent customer accounts.
  • Complete customer outreach strategies, i.e. collection calls, emails, and account follow-ups to secure payment commitments.
  • Negotiate payment arrangements, settlements, lease buyouts, and contract resolutions through consultative customer engagement and relationship management.
  • Investigate and resolve billing disputes and customer concerns.
  • Work with Operations Manager to improve the service and collection revenue and any other task assigned to support the organization goal.
  • Collaborate with Finance, Billing, and external contractors to deliver exceptional service.

Relevant Qualifications

To thrive in this role, you recognize yourself in most of the following competencies and skills listed below:

  • High school diploma required; post-secondary education in Business Administration or a related field is preferred. An equivalent combination of education and experience will be considered.
  • 2-3 years of experience in account management, customer service, collections, service coordination, contract administration, or a related customer-facing role. Experience in lease buyouts, contract negotiations, or B2B account management is considered an asset.
  • Experience negotiating payment arrangements, settlements, contracts, or customer account resolutions.
  • Experience in consultative selling, customer retention, business development, or B2B relationship management.
  • Strong communication, negotiation, problem-solving, and organizational skills.
  • Proficiency in Microsoft Office suite, Customer Relations systems, and QuickBooks.
  • Ability to manage multiple priorities in a fast-paced environment.
