McInnes Cooper is seeking an Accounting & Compliance Clerk to join our team in a full-time permanent position. As part of the Finance & Accounting team, you will be responsible for supporting the day-to-day transaction processing for a variety of general accounting and billing support tasks. This position can be based in any of our seven office locations in Atlantic Canada - Halifax, Sydney, St. John's, Fredericton, Moncton, Saint John, or Charlottetown.
As an Accounting & Compliance Clerk, you will be responsible to maintain all daily processing and inquiries related to:
- Accounts Payable: processing of firm member expense reports and vendor invoices.
- Accounts Receivable: cash receipts, incoming client calls, and preparation of third-party reports for remittances.
- General Banking: posting cash receipts (i.e. cheques, credit cards, direct deposits).
Billing:
- Oversee the execution of the Firm's billing process in an accurate and timely manner, including the implementation and maintenance of billing rates,
- Facilitate quality control and audit processes,
- Ensure billing practices and policies are adhered to, and
- Support the Firm's e-Billing function (as necessary) by preparing, reviewing, and submitting electronic invoices through various client billing platforms, including investigating discrepancies and rejections.
Trust:
- Monitoring of trust accounts, processing deposit requisitions, processing of investment and wiring requests for client trust funds and posting and reconciliation of client disbursements,
- Assist with special projects on various issues as needed.
Intapp Intake:
- Providing day-to-day support, including monitoring email inbox and Teams pages for requests,
- Client Identification and Verification:
- Providing day-to-day support for client identification and verification, including processing ID's for external verification through the Firm's software, YOTI.
Compliance:
- Providing day-to-day support for compliance with trust regulations in all provinces in which the Firm operates,
- Supporting the training of compliance within the Firm,
- Supporting trust reporting to external parties, including dormant trust and related reporting,
- Supporting the Firm's internal audit functions for both internal and external compliance reporting, and
- Assisting with the Firm's annual external financial statement and trust compliance audits.
- Assist with special projects on various issues as needed and/or perform other related duties as required.
The successful candidate will possess the following skill set:
- Bachelor's Degree and/or Diploma in Finance, Accounting or Business;
- Minimum two (2) years of related experience;
- Ability to multi-task and accurately process high volumes of work in a fast-paced environment;
- Proficient in data entry, Microsoft Office Suite and Excel, with exceptional attention to detail;
- Excellent analytical and problem-solving skills.
- A solid knowledge of basic accounting principles and strong math skills;
- Strong technology skills;
- Strong ability to manage time efficiently and prioritize tasks effectively;
- Exceptional verbal and written communication skills and ability to communicate effectively with internal and external parties;
- Experience with legal billing software (such as Elite 3E and/or Emburse Enterprise), knowledge of provincial law society trust account rules, and experience working in a professional services environment are considered assets;
