Client Care Coordinator
LOCATION: St. John s, NL (Remote, with in-person meetings when required)
TERMS OF EMPLOYMENT: Part Time (20 hours per week)
NUMBER OF POSITIONS: One (1)
Position Overview
This role has evolved from a traditional administrative position into one focused on coordinating the client experience and supporting the operational side of a growing real estate business. The position will initially be approximately 20 hours per week, with the opportunity to grow as the business expands.
The Client Care Coordinator will become the central point of coordination for client communication, transaction administration, marketing support, project coordination, and business operations.
This role is ideal for someone who enjoys taking ownership, improving systems, and helping build a business.
Primary Responsibilities
Client Care
- Coordinate the client experience from signed agreement through closing.
- Maintain regular communication with buyers and sellers.
- Coordinate photography, inspections, contractors, lawyers, mortgage professionals, and serviceproviders.
- Ensure clients receive timely updates.
- Coordinate post-closing follow-up.
Transaction Coordination
- Manage transaction files and checklists.
- Monitor deadlines and documentation.
- Maintain CRM records and organized electronic files.
Marketing & Business Operations
- Schedule social media content.
- Assist with listing launches and marketing materials.
- Coordinate client appreciation and community events.
- Support rental property administration.
- Assist with special projects and process improvements.
Executive Support
- Calendar management
- Email organization
- CRM maintenance
- Meeting preparation
- Research and project coordination
- General business administration
