DUTIES
Reporting to the manager of operations and working closely with the chair of the discipline, the successful applicant will perform responsible administrative duties requiring a significant degree of initiative and independent judgement to support the chair and the discipline of surgery. Duties include managing the chair's schedule and arranging all meetings including compiling background information and coordinating ongoing scheduling requirements; carrying out all financial aspects of the discipline including initiating travel requests, preparing travel advances and travel claims and preparing all internal requisitions for departmental purchases; assisting the chair with budget preparation including maintaining budgetary records for discipline and preparing monthly reconciliations; preparing paperwork for faculty appointments within the discipline; making arrangements for visiting professors to the discipline; maintaining up to date information for the surgery webpage; keying leave and time entry for the discipline's personnel in banner HR; creating and maintaining databases both excel and outlook; liaising with other departments within the University and the Faculty of Medicine on administrative issues; screening, recording and following up on incoming correspondence; assisting faculty in the discipline with academic and research related activities; and performing other related duties as required.
QUALIFICATIONS
Experience (5-7 years) in progressively responsible secretarial work of a self-directed nature; graduation from a two-year office or business administration program or any equivalent combination of experience and training. Knowledge of the Faculty and University structure, strong organizational, communication and time management skills are required; Knowledge of Banner Finance and HR will be considered assets.
SALARY $57,336 – $67,257 per annum (Non-Bargaining)
