INTERMEDIATE SECRETARY (BAND LEVEL 4)

DUTIES
The successful applicant will perform advanced secretarial duties requiring initiative and judgment, under the general supervision of the Associate Dean and the Coordinator of the Undergraduate Medical Education program. Duties include typing letters, forms and other correspondence from rough draft and/or dictating equipment; replying in person. by telephone, or correspondence to enquiries; maintaining calendars for the Associate Dean and Coordinator; arranging meetings and preparing agendas and resource materials; recording and transcribing minutes; making travel arrangements and processing travel claims; maintaining a manual and computerized filing system; compiling information for medical student performance records (Dean's Letters); corresponding with students; liaising with various disciplines and faculty on behalf of the Associate Dean and Coordinator; preparing absentee reports, tracking leaves, preparing and filing time sheets; and performing other related duties as required.
QUALIFICATIONS
Experience (3-5 years) in secretarial work in an academic office; graduation from two-year program in office administration or business administration; or any equivalent combination of experience and training. Knowledge of MS Office, including Word and Excel, is required. The ideal candidate will have proficiency in recording and transcribing meeting minutes, excellent written and verbal communication, and interpersonal skills as well as flexibility about attending meetings outside the traditional workday. Knowledge of medical terminology, One45, Desire2Leam and the MD curriculum would be considered assets.
SALARY $50,294 - $58,998 per annum (Non-Bargaining)
