Role Overview

We are forming a Business Transformation team to lead the successful implementation of a brand-new Oracle Fusion solution. This is your chance to join a dynamic group of professionals and focus on the people side of change that this ERP project requires. We are currently looking to hire an Executive Assistant (EA) on a term contract, for a minimum of twelve (12) months with the opportunity to be extended into a permanent position.

When you join our Business Transformation team, you will be responsible for providing professional support to members of the project in a fast-paced, demanding environment. You are an integral part of our project team and, as such, you are an enthusiastic team player and demonstrate maturity, confidence, and decision-making capability.

Your key responsibilities include:

  • Provide day-to-day support to the ERP project team, including extensive calendar and time management, and respond to routine requests independently.
  • Oversee office activities including but not limited to, document creation and editing, scheduling and planning meetings, and team events where required (including full coordination of catering and other logistics).
  • Prepare and submit accurate expense reports for project leadership and provide support for invoicing, cost center budget development and tracking.
  • Identify opportunities to improve workflows and administrative processes.
  • Liaise with administrative professionals throughout the business to align priorities and share best practices.
  • Participate in regular meetings, training, professional development, and teambuilding activities.
  • Support a variety of projects ranging from small and straightforward to large and complex with potential for work outside normal business hours.

  • You are a team player who can quickly build relationships and have a proven track record of being a strong communicator and team player.
  • You have an advanced knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook).

Launching your potential

The following experience will help you succeed in this role:

  • You have a college diploma, university degree in office Administration or Business or equivalent work experience.
  • You bring a minimum of 3-5 years' experience in an administrative support role.
  • You possess excellent general business sense, acquired through experience and ensure that all matters are handled effectively with diplomacy and the appropriate level of confidentiality.

Helpful, though not a prerequisite

The following experience is considered a valuable addition, though not a firm requirement:

  • Experience providing support to Senior Leadership or in a project environment is considered an asset.
