DEPARTMENT OF SOCIOLOGY
We offer three undergraduate programs (Sociology, Criminology and Criminal Justice, and Sociocultural Studies in Health) and two Sociology graduate programs (masters and doctoral). Faculty have strong research programs, providing students with research and teaching assistantship opportunities.

Salary Range: $23.48 - $27.26 per hour
YOUR FOCUS
Reporting to Chair and Director of Graduate Studies, the Secretary PL4 provides administrative, secretarial, computing, and communications support to the Department of Sociology, specifically for the Graduate Program.
- Liaise regularly with the School of Graduate Studies and other university offices.
- Coordinate with the Registrar's Office for classroom bookings, seminar and meeting spaces, and student record updates.
- Coordinate with Facilities Management to schedule repairs and submit work orders.
- Schedule appointments and meetings; prepare materials and minutes; support organization of graduate events.
- Provide information on MA and PhD admissions via email, phone, or in person.
- Assist new graduate students with onboarding and serve as the first point of contact for all inquiries and issues.
- Provide administrative support to the Director of Undergraduate Studies by processing student records, syllabi, and grading materials; assist with graduation and prize coordination.
- Provide administrative support to faculty and Contract Academic Instructors (CAIs).
- Design and produce departmental marketing materials, including brochures, posters, and general forms.
- Notify students of upcoming meetings, deadlines, conferences, and calls for papers.
- Organize and manage Student Opinion Surveys.
- Maintain and update the Graduate Student Handbook.
- Schedule seminar rooms, classrooms, and departmental equipment usage.
- Perform additional administrative tasks as assigned by the Chair or Director of Graduate Studies.
WHAT YOU BRING
- Diploma in Business Administration or another relevant field.
- 3-5 years of experience in an office environment.
- A combination of experience and education may be considered.
Additional Strengths
- Proven computer apps of MS Office, Adobe, and website management programs.
- Direct experience providing front-line service to students and/or public.
- Excellent interpersonal skills: must be able to deal with people effectively, efficiently, and in a positive manner. Ability to work independently, accurately, analyze and solve problems, make decisions and meet deadlines with minimal supervision.
- Basic financial accounting and willingness to assume new tasks in active academic unit.
- Familiarity with University Policies and Procedures and knowledge of the Faculty of Arts would be an asset.
