Lawson Lundell LLP is seeking a full-time, intermediate-level Corporate Commercial Legal Assistant to join our Corporate Department in Calgary. The ideal candidate is an enthusiastic, detail-oriented professional who takes initiative, works collaboratively and thrives in a fast-paced legal environment.
Regular working hours: Monday to Friday, 8:30 a.m. to 4:30 p.m.
Key Responsibilities
- Provide dedicated administrative support to three Lawyers.
- Draft, prepare, revise, proofread and process correspondence, memoranda, cover letters and legal documents in accordance with firm standards, including preparing blackline documents.
- Prepare closing books, including indexing and hyperlinking documents.
- Review and distribute incoming correspondence, including mail and faxes, and coordinate outgoing mail, courier and messenger services as required.
- Organize and file email correspondence in the appropriate client matters using the firm's document management system.
- Manage calendars, appointments, meetings, deadlines and other client-related activities for assigned lawyers.
- Coordinate travel arrangements and prepare travel expense reports.
- Maintain accurate contact information in the firm's InterAction database.
- Coordinate client meetings, including room bookings, catering and audiovisual requirements.
- Screen and direct incoming calls, respond to routine client inquiries and take messages as required.
- Enter and submit lawyer time entries in accordance with firm deadlines.
- Prepare expense reimbursements and disbursement requests.
- Prepare and revise prebills, coordinate client invoicing and assist with outstanding accounts in collaboration with the Accounting Department.
- Assist lawyers with new client and matter openings, including conflict checks, engagement letters, and maintaining electronic and physical files.
- Provide administrative support to other lawyers, legal assistants, and students as needed, including coverage during absences.
- Collaborate with colleagues and other departments to support efficient daily operations and contribute to a positive team environment.
Qualifications
- 3+ years of experience as a Legal Assistant, preferably within a corporate or business law practice.
- Hold a Legal Administrative Assistant certificate or diploma or demonstrate an equivalent combination of education and relevant experience.
- Demonstrate strong knowledge of legal terminology, document production, file management and law firm administrative procedures.
- Use Microsoft Office, particularly Word and Outlook, with a high level of proficiency and accuracy. Knowing how to use styles and adjust formatting in Microsoft Word is essential.
- Manage multiple priorities, deadlines and competing requests while maintaining strong attention to detail.
- Communicate clearly and professionally with lawyers, clients, colleagues and internal teams.
- Exercise discretion, sound judgment and professionalism when handling confidential and sensitive information.
- Deliver responsive, solutions-focused, client service and anticipate the needs of assigned lawyers.
- Work independently, take initiative, and adapt effectively to changing priorities in a deadline-driven environment.
- Use document management, time entry, billing, contact management and expense reporting systems.
