The Maintenance Manager is responsible for overseeing the day-to-day operation, maintenance, and reliability of all building systems and infrastructure for a 201-room hotel property. This role ensures a safe, efficient, and well-maintained environment for guests and team members while supporting the hotel's operational and financial objectives.
The Maintenance Manager provides leadership to the maintenance team, oversees preventive maintenance programs, manages contractors and vendors, ensures regulatory compliance, and supports capital improvement initiatives. Success in this role requires strong technical expertise, effective leadership, sound judgment, and a proactive approach to asset preservation and continuous improvement.
This position reports directly to the Director of Operations.
Key Responsibilities:- Maintenance Operations
- Oversee the operation, maintenance, repair, and performance of all building systems, including HVAC, refrigeration, boilers, chillers, cooling towers, plumbing, electrical systems, mechanical equipment, pool systems, life safety systems, and building controls.
- Ensure guest rooms, public areas, back-of-house spaces, and exterior grounds are maintained to the highest standards of safety, functionality, and presentation.
- Respond promptly to maintenance issues and operational challenges while minimizing disruption to guests and hotel operations.
- Monitor facility performance and identify opportunities to improve reliability, operational efficiency, and service delivery.
- Coordinate, prioritize, and supervise maintenance activities to ensure work is completed safely, efficiently, and in accordance with established standards.
- Ensure rooms are returned to service in a timely manner by effectively prioritizing maintenance activities and coordinating repairs.
- Preventive Maintenance & Asset Management
- Develop, administer, and continuously improve the hotel's preventive maintenance program.
- Schedule, track, and verify completion of preventive maintenance tasks for all equipment and building systems.
- Conduct routine inspections of maintenance, equipment, and guest areas to identify maintenance requirements and potential risks.
- Maintain accurate records of maintenance activities, equipment histories, warranties, inspections, permits, certifications, and regulatory requirements.
- Support long-term asset preservation strategies, equipment lifecycle planning, and replacement forecasting.
- Safety, Compliance & Risk Management
- Ensure compliance with all applicable health, safety, environmental, fire, and building regulations.
- Administer and support life safety programs, including fire alarm testing, emergency lighting, sprinkler systems, and emergency response procedures.
- Enforce safe work practices and manage other workplace safety programs.
- Participate in safety audits, inspections, incident investigations, and corrective action planning related to facility maintenance.
- Assist with emergency preparedness planning and provide leadership during facility-related emergencies.
- Team Leadership & Development
- Lead, coach, and support maintenance associates.
- Assist with recruitment, onboarding, training, scheduling, performance management, and employee development.
- Foster a culture of accountability, teamwork, safety, and continuous improvement through effective leadership and recognition.
- Provide technical guidance and mentorship while promoting skills development and cross-training opportunities.
- Ensure team members understand and adhere to operational procedures, service standards, and safety requirements.
- Vendor & Contractor Management
- Coordinate and oversee the activities of external contractors, service providers, and vendors.
- Ensure all contracted work complies with hotel standards, safety requirements, and applicable regulations.
- Obtain quotations, review service agreements, negotiate where appropriate, and monitor contractor performance.
- Verify the quality and completion of contracted work, ensuring services align with approved scopes and quotations.
- Review and approve contractor invoices for accuracy and completeness.
- Establish and maintain relationships with emergency service providers to ensure timely response to unforeseen facility issues.
- Financial & Administrative Responsibilities
- Assist in the development and management of departmental operating and capital budgets.
- Monitor labour, materials, utilities, and maintenance expenditures to ensure alignment with budget objectives.
- Maintain inventory control of tools, equipment, spare parts, and maintenance supplies.
- Support capital project planning and execution through budgeting, scheduling, contractor coordination, and progress tracking.
- Manage work order systems, documentation, reporting, compliance records, and maintenance metrics.
- Maintain detailed and accurate records of purchases, repairs, and project expenditures, including applicable room numbers, departments, and project allocations.
- Demonstrate strong project planning and prioritization skills to balance operational demands, guest impact, revenue considerations, and project timelines.
- Cross-Functional Collaboration
- Collaborate closely with all hotel departments to support operational needs and enhance guest satisfaction.
- Maintain effective communication with Housekeeping, Front Office, Food & Beverage, and other departments regarding maintenance priorities, room status, and project activities.
- Support hotel initiatives focused on guest experience, operational efficiency, sustainability, and asset preservation.
- Respond to facility-related concerns with professionalism, urgency, and a service-oriented approach.
- Coordinate shipping, receiving, and storage of deliveries, ensuring materials and supplies are properly received, documented, and stored.
- Minimum of 3–5 years of progressive experience in maintenance management, building operations, engineering, or maintenance leadership within a hotel, commercial, or similar environment would be an asset.
- Strong technical knowledge of HVAC, plumbing, electrical, refrigeration, boilers, mechanical systems, TV and WiFi systems, and life safety systems.
- Demonstrated experience managing preventive maintenance programs and facility operations.
- Working knowledge of applicable building codes, health and safety regulations, and regulatory compliance requirements.
- Experience supervising and coaching maintenance personnel and managing contractors and service providers.
- Strong organizational, communication, leadership, and problem-solving skills.
- Proficiency with Computerized Maintenance Management Systems (CMMS) and advanced Microsoft Excel skills are considered an asset.
- Excellent time management, planning, documentation, and administrative skills.
- Ability to work flexible hours, including weekends, holidays, and emergency call-ins as required.
