Residential Property Manager

Our client is a leading fully integrated property management company known for their superior assets and strong culture. They are seeking a licensed Residential Property Manager to join their team on a 6-month contract with possibility for extension. The ideal candidate will have 5+ years of multifamily rental management experience with exposure to premium assets, strong foundational financial or accounting focus, a positive attitude and someone who is reliable, dedicated and passionate about enhancing communities while fostering connection. The successful candidate will oversee every aspect of the property's performance from resident experiences, team leadership, leasing strategy, capital projects, and maintenance to financial management.
Key Duties & Responsibilities:
- Respond to inquiries and requests from current residents while maintaining a high standard of customer service and positive resident relationships. Escalate and resolve concerns that cannot be addressed by front-line team members.
- Maintain strong resident satisfaction by managing, documenting, and following up on resident requests, complaints, and building emergencies occurring during and outside regular office hours.
- Coordinate annual suite inspections and meet with residents in advance of their lease anniversary dates to identify and resolve concerns, helping to minimize resident turnover.
- Support front-line team members with resident retention initiatives and the lease renewal process, including the administration of rental increases and renewal programs. Implement resident loyalty initiatives, where applicable, to encourage lease renewals.
- Oversee suite inspections following resident move-outs, assess damages, and determine estimated repair costs for applicable resident chargebacks.
- Promote a high level of resident satisfaction through timely communication, service coordination, and consistent follow-up, including the administration of resident satisfaction surveys when required.
- Coordinate resident engagement initiatives and organize resident events in accordance with approved budgets.
- Promote and maintain a strong customer-service-focused culture across the property team.
- Encourage a positive sense of community among residents and staff.
- Monitor online reviews and service ratings, including Google reviews, ensuring ratings remain at a high level and all feedback is addressed promptly and professionally.
- Manage and oversee the property's daily operations, ensuring efficient and effective performance across all areas.
- Lead, supervise, coach, and train on-site employees, providing support with performance management when necessary to maintain company standards and compliance with established policies and procedures.
- Support ongoing employee development by establishing and regularly reviewing training and development plans for both hourly and salaried employees. Provide ongoing feedback and coaching to help strengthen employee skills and performance.
- Communicate and work effectively with owner representatives regarding property operations, financial performance, staffing matters, and resident relations.
- Oversee property revenue and expenditures while maintaining operations within the approved budget. Review and analyze monthly financial statements, prepare management reports, and provide required year-end accruals.
- Develop annual operating, revenue, expense, and capital budgets for the assigned properties.
- Make recommendations regarding rental policies and procedures for residential suites and other revenue-generating areas, including furnished suites, guest suites, laundry facilities, rooftop amenities, and other applicable sources of revenue.
- Conduct and oversee regular market surveys and maintain a strong understanding of competitive properties, rental rates, and current market conditions.
- Ensure purchasing activities are conducted responsibly and in accordance with company policies and applicable client agreements.
- Monitor rental collections and manage outstanding accounts, including arrears collection, payment negotiations, and eviction proceedings. Maintain effective communication with legal counsel, collection agencies, and other parties involved in the collection process.
- Review resident applications and make approval or decline recommendations based on required background and credit checks. Review and approve completed lease documentation prior to execution.
- Oversee the lease renewal process, including approval of renewal rates within established budget guidelines and approval of applicable non-renewal notices.
- Work closely with the Technical Services team to recommend, plan, and oversee capital projects and preventative maintenance programs for building systems and equipment. Identify and implement property improvements, obtain pricing, secure and monitor service and maintenance contracts, and conduct regular property inspections to ensure cost-effective operations.
- Ensure properties are operated, maintained, and repaired efficiently while meeting all applicable government regulations, maintenance requirements, and life-safety standards. Identify cost-effective opportunities to improve property operations.
- Establish, maintain, and update appropriate operating procedures to ensure compliance with all legislative and regulatory requirements, including regularly reviewing and updating emergency response procedures.
- Assist with the issuance of purchase orders and coordination of qualified trades and contractors. Monitor the quality, timeliness, and responsiveness of external service providers to ensure compliance with BGO standards and policies.
- Manage property operations within approved budget parameters and obtain authorization from the Director, Residential Property Management when circumstances require expenditures outside the approved budget.
- Ensure property rules, regulations, and established policies are consistently communicated and enforced.
- Use the computerized property management system to accurately record transactions and generate operational and management reports as required.
- Monitor the performance of building maintenance and service contracts, ensuring vendors provide cost-effective and quality services. Provide recommendations and feedback to the Regional Director, Residential Property Management and Maintenance Manager as appropriate.
- Conduct regular audits of resident files to ensure documentation is accurate, complete, and compliant with established policies and procedures.
- Regularly review and assess the rental rate grid for each assigned property in partnership with the Marketing Department.
- Perform other duties and responsibilities as assigned, which may include occasional lifting or physical activity.
- Ensure compliance with all applicable legislation and regulatory requirements, including the Residential Tenancies Act, Labour Relations Act, Fire Code, Occupational Health and Safety Act, and other relevant requirements.
- Understand, follow, and promote the company's Health and Safety policies and procedures.
- Ensure employees use the required Personal Protective Equipment (PPE) whenever applicable.
- Ensure all vendors, contractors, and service providers comply with established health and safety requirements. Immediately report and address safety violations, hazardous conditions, damaged equipment, or other potential risks
- Actively support and promote commitment to environmental sustainability and corporate and social responsibility.
- Identify, respond to, and appropriately manage environmental hazards in a timely manner.
- Promote energy and utility-efficient practices in the operation and maintenance of the property.
- Incorporate sustainability considerations when evaluating equipment replacements, upgrades, and other operational options.
- Participate in and support resident and employee community initiatives, events, and charitable activities as appropriate.
Key Qualifications:
- Professional Experience: Minimum of five years of relevant experience in residential property management or the hospitality industry. Post-secondary coursework in property management or hospitality is preferred, along with demonstrated experience supervising or leading a team.
- Licensing: Must hold a valid Rental Property Management License issued by the Province of British Columbia.
- Education: Post-secondary education from a recognized college or university in business, hospitality, property management, or a related discipline is considered an asset.
- Communication & Leadership: Strong verbal and written communication skills with the ability to interact professionally and effectively with employees, senior leadership, contractors, residents, and members of the public. Demonstrated ability to build and maintain positive, collaborative working relationships.
- Organization & Time Management: Strong organizational and time-management abilities, with the capacity to prioritize tasks, meet demanding deadlines, and perform effectively in a fast-paced environment. Able to manage multiple responsibilities and shifting priorities while remaining adaptable, results-focused, detail-oriented, and accurate.
- Problem Solving & Decision Making: Demonstrated ability to assess situations, identify solutions, and make well-informed decisions using sound judgment and available information. Ability to take a strategic, goal-oriented approach while demonstrating initiative, creativity, and adaptability in response to changing circumstances.
- Technology & Computer Skills: Intermediate proficiency with Microsoft Office applications, including Word, Excel, and Outlook. Experience using Yardi or other property management software is considered an asset.
Compensation:
The successful candidate will receive the equivalent of an annual base salary between $87,000-$95,000 dependent on level of experience.
