Assistant Manager - Business Operations & Customer Experience

Music School | Full-Time | $55,000-$65,000/year

Etobicoke & Oakville

Orrett Music Academy is looking for a capable, proactive Assistant Manager to become a key part of running and growing our multi-location music academy.

You do not need to be a musician. In fact, non-musicians are encouraged to apply. We're looking for an excellent manager and communicator with strong business instincts who enjoys working with people, solving problems, and keeping a busy organization running smoothly.

Our busiest hours are after school, so this is not a traditional 9-to-5 position.

The regular schedule is approximately:

  • Monday to Thursday: 1:00 PM-9:00 PM
  • Alternating Friday evenings and Saturdays
  • Some flexibility may be possible

This position works across our four Etobicoke and Oakville locations, and occasional travel between locations during the same shift is required. Reliable transportation is therefore essential.

THE ROLE

This isn't simply an administrative or front-desk position.

We're looking for someone who can help oversee day-to-day operations, support and manage staff, deliver an exceptional experience to our students and families, and confidently solve problems as they arise.

The right person is organized, personable, commercially minded, and comfortable taking ownership. You should be able to walk into a busy situation, quickly determine what needs attention, communicate effectively with the people involved, and get things done without needing constant direction.

You'll also understand that excellent customer service and good business go hand in hand. You'll be comfortable discussing our programs, converting inquiries into registrations, helping retain existing students, and identifying opportunities to improve the way we operate and grow.

As our organization continues to expand, there is significant opportunity for the right person to take on greater responsibility.

WHAT YOU'LL DO

  • Help oversee daily operations across our academy locations
  • Support, supervise, and communicate with staff and instructors
  • Provide exceptional service to students and families
  • Handle customer questions and resolve concerns professionally
  • Manage registrations, scheduling, inquiries, and billing-related issues
  • Conduct tours and consultations with prospective families
  • Help convert inquiries into new student registrations
  • Support student retention and identify opportunities to improve the customer experience
  • Help train and support team members
  • Use our CRM, scheduling systems, spreadsheets, and other software to keep operations organized
  • Identify problems and take initiative to solve them
  • Look for opportunities to improve systems, efficiency, and business performance
  • Assist with marketing initiatives, email communication, social media, and community outreach
  • Help maintain a welcoming, professional, and well-organized environment
  • Work closely with senior management to support the continued growth of the academy

WHO WE'RE LOOKING FOR

Previous experience managing or supervising people is required.

We're particularly interested in candidates who have:

  • Strong leadership and people-management skills
  • A strong business mindset and commercial awareness
  • Excellent written and verbal communication
  • Significant customer service experience
  • Confidence handling difficult or sensitive customer situations
  • Comfort with sales, pricing conversations, and recommending services
  • Strong organizational and multitasking abilities
  • Good judgment and the ability to make decisions independently
  • Excellent computer skills and the ability to learn new software quickly
  • A proactive approach to identifying and solving problems
  • Reliability and a strong sense of personal responsibility

Experience in sales, hospitality, private education, fitness/wellness, retail management, customer experience, operations, or another service-based business is particularly relevant.

Experience with customer retention, business development, or managing a multi-location operation is a strong asset.

Experience in music or the arts is not required.
