Order Desk Clerk
Department: Sales
Reports to: Inside Sales Manager
Location: Ottawa
We're looking for a dependable and detail-oriented Order Desk Clerk
to join our Inside Sales team. This is primarily a data-entry role responsible for creating and updating customer orders accurately and efficiently. The position also involves confirming routine order information, maintaining complete documentation, and coordinating with customers, sales representatives, and other departments to keep orders moving. The ideal candidate works quickly and accurately, communicates clearly, and stays organized while managing a steady volume of work.

Key Responsibilities
- Receive and process customer orders submitted by email, phone, or in person.
- Review order requests for all required information and follow up with customers or sales representatives to clarify any missing, incomplete, or conflicting details.
- Accurately enter and update customer orders in the company's order management system in accordance with established requirements for product descriptions, material sequencing, quantities, pricing, purchasing, jobsite, pickup, delivery, and supporting documentation.
- Confirm product availability, lead times, and backorders, communicate relevant updates, and complete required follow-up on open orders and backordered products.
- Process stock, non-stock, and special-order items using approved product and pricing information, and refer requests requiring technical advice, material calculations, product recommendations, or special pricing to the appropriate sales representative or manager.
- Maintain complete and accurate order records, including customer purchase orders, quotations, revisions, correspondence, and other supporting documentation.
- Send order confirmations, process customer-requested changes, and verify completed and revised orders against the customer's original request and supporting documents before release.
- Manage incoming requests through the shared inbox and work closely with Sales, Purchasing, Dispatch, Operations, Delivery, and Finance to support accurate and timely order fulfillment.
- Stay up to date on industry products, company systems, and established procedures by participating in training and ongoing learning.
- Perform other duties as assigned in support of the team and business.
Skills, Qualifications, and Abilities
- Fluency in spoken and written English and French is required.
- At least two years of experience in customer service, order processing, retail, or a similar fast-paced environment.
- Excellent keyboarding and data-entry skills, with demonstrated speed, accuracy, and attention to detail.
- Dependable and punctual, with a consistent record of regular attendance.
- Comfortable using Microsoft Office and learning new computer systems.
- Experience using an order management, point-of-sale, or ERP system is considered an asset.
- Previous experience with building materials or construction products is considered an asset.
- Strong customer service, communication, and active listening skills, with the ability to communicate clearly by phone, email, and in person.
- Ability to understand and follow detailed written and verbal instructions.
- Strong organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
- Strong practical math skills, including working with quantities, units of measure, decimals, fractions, and percentages.
- Strong problem-solving skills and sound judgment, with the ability to resolve routine issues and recognize when additional support is required.
- Ability to work effectively both independently and as part of a team.
- Ability to follow company policies, established procedures, and workplace safety requirements.
Candidates will be required to complete a keyboarding and data-entry assessment as part of the interview process.
Education
- High School diploma or general education degree (GED)

Working Conditions
- Fast-paced, customer-focused office and retail environment.
- Regular schedule from Monday to Friday, with one Saturday in July required for annual inventory and occasional early starts or overtime during peak periods.
- Occasional assistance with receiving and stocking merchandise, including standing, bending, kneeling, reaching, and safely carrying materials.
