Based in Toronto's financial district and with approximately $18 billion in ETF assets under management, we are seeking a motivated individual to join our entrepreneurial team of experienced and talented professionals.
Here's what you will do as our Sales Coordinator:
This role supports sales team activities, facilitates communication between clients and internal teams, assists in organizing sales operations, and provides excellent advisor and self-directed client support. Reporting jointly to the Head of Sales and Head of Inside Sales, the incumbent will execute various sales coordination tasks, help optimize processes, and ensure seamless sales operations to foster strong client relationships. More specifically:
- Support the sales team by coordinating day-to-day operations and identifying new business opportunities across assigned territories;
- Maintain accurate CRM records, ensuring data integrity and promoting best practices;
- Coordinate sales communications, including mass and personalized advisor emails, and respond professionally to self-directed client inquiries;
- Manage calendars, meetings, and travel arrangements for the Head of Sales, Head of Inside Sales, and portfolio managers, including speaker requests and scheduling;
- Plan and coordinate sales events, road shows, seminars, conferences, branch presentations, and the firm's bi-annual National Sales Conference;
- Prepare presentation materials, marketing collateral, and advisor resources, while managing promotional inventory in partnership with the Marketing team;
- Provide administrative support, including expense reports, invoice processing, co-op request administration, branch attendance tracking, and general sales administration for the Toronto office;
- Organize weekly sales meetings, prepare meeting summaries, and consolidate sales data to support reporting and performance tracking;
- Collaborate with Marketing and other internal departments to ensure the timely execution of sales initiatives and seamless communication;
- Take on additional responsibilities, initiatives, or special projects as needed to support the continued growth and success of the firm.
Here's what you'll need to be successful:
Education & Experience
- Post-secondary diploma or degree in Business Administration, Marketing, Finance, or a related field;
- Previous experience in sales coordination, sales operations, client service, or a related role is preferred;
- Experience supporting sales teams and managing client relationships, with an understanding of sales processes and best practices, is an asset;
- Experience working with customer relationship management (CRM) systems is preferred;
- Recent graduates with relevant education, internships, or demonstrated interest in sales and client service are encouraged to apply.
Technical & Core Skills
- Strong organizational skills with the ability to manage multiple priorities, coordinate projects, and meet deadlines in a fast-paced environment;
- Excellent verbal and written communication skills with the ability to engage professionally with clients, advisors, internal teams, and external partners;
- Strong customer service orientation with the ability to respond effectively to client inquiries and build positive relationships;
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint;
- Strong attention to detail and accuracy in managing data, documentation, reporting, and administrative processes;
- Ability to collaborate effectively within a team while also working independently with minimal supervision;
- Knowledge of sales operations and coordination practices to support efficient execution of sales activities;
- Experience with data management and reporting tools is an asset; programming knowledge in Visual Basic or other programming languages would be considered an asset;
- Fluency in English, both written and spoken, is required;
- Additional language skills in French, Mandarin, and/or Cantonese are considered an asset.
