FuzeHR is currently seeking a highly organized and detail-oriented Administrative Assistant to support a dynamic operations and maintenance team with one of our valued clients in Vancouver.This is an exciting opportunity for an administrative professional who enjoys variety in their day, thrives in a fast-paced environment, and wants to play a key role in keeping business operations running smoothly. You'll work closely with Maintenance, Operations, Logistics, and Corporate teams while gaining valuable experience with payroll, accounts payable, reporting, and office administration.This position is being offered as an initial 3-month contract, with a strong likelihood of extension for the right candidate.

What are the Responsibilities?
  • Serving as a trusted administrative resource for employees, contractors, visitors, and external partners.
  • Managing and maintaining electronic and physical records, ensuring accuracy and compliance with company policies.
  • Processing employee timecards and payroll information with a high degree of accuracy and confidentiality.
  • Supporting accounts payable functions, including invoice processing, voucher preparation, PO matching, and purchase card reconciliations.
  • Coordinating purchase orders, service agreements, contracts, and annual procurement documentation while assisting with issue resolution.
  • Preparing and formatting reports, spreadsheets, presentations, correspondence, and other business documents.
  • Compiling operational, maintenance, payroll, purchasing, workforce, and budget data to support management reporting and decision-making.
  • Coordinating travel arrangements, accommodations, visitor schedules, and other administrative logistics.
  • Assisting with office supply management, vendor coordination, and day-to-day office operations.
  • Supporting process improvement initiatives, system upgrades, testing activities, and document standardization projects.
  • Working closely with Maintenance, Operations, Logistics, and Corporate teams to help achieve business goals.
  • Maintaining strict confidentiality while adhering to company procedures, safety standards, and best practices.
What are the Requirements?
  • 2–3 years of administrative experience in a fast-paced business environment.
  • Experience supporting payroll, accounts payable, purchasing, or financial administration functions.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Advanced proficiency with Microsoft Office, particularly Excel, Word, Outlook, and reporting tools.
  • Strong attention to detail and a commitment to accuracy.
  • Excellent written and verbal communication skills.
  • A customer-focused approach and the ability to build positive relationships with internal and external stakeholders.
  • Strong analytical abilities and confidence working with operational and administrative data.
  • The ability to work independently while contributing positively within a collaborative team environment.
  • Experience with maintenance management systems, payroll platforms, ERP systems, or other enterprise software is considered a strong asset.
