The Opportunity
Leavitt Machinery is looking for an organized Rental Planned Maintenance Coordinator to join our team in Coquitlam, British Columbia. As the Rental Planned Maintenance Coordinator, you will be responsible for coordinating planned maintenance activities for the rental fleet within an assigned territory. Working closely with Rental, Service, and Branch Operations teams, you will help ensure equipment maintenance is completed on schedule, fleet records are accurate, and equipment remains compliant, safe, and ready for rent.
Essential Duties & Responsibilities
As the Rental Planned Maintenance Coordinator, your key responsibilities will include:
- Coordinate planned maintenance scheduling and tracking for the rental fleet within an assigned territory
- Monitor maintenance due dates and proactively schedule service activities to support fleet uptime and utilization targets
- Collaborate with Rental, Service, and Branch Operations teams to ensure maintenance requirements are completed in a timely manner
- Utilize telematics systems and fleet management tools to monitor equipment usage, maintenance intervals, and asset performance
- Create, maintain, and distribute maintenance and fleet performance reports as required
- Ensure maintenance records, compliance documentation, and asset information remain accurate and up to date
- Identify overdue maintenance, equipment exceptions, and fleet-related concerns, escalating issues as appropriate
- Support continuous improvement initiatives related to fleet maintenance planning, utilization, and operational efficiency
- Assist with administrative and reporting activities related to rental fleet maintenance programs
Required Skills & Qualifications
The ideal candidate will possess the following skills, knowledge, and competencies:
- Previous experience in an administrative, maintenance coordination, fleet management, rental operations, or similar role
- Post-secondary degree or diploma in business, operations management, logistics, or a related field is considered an asset
- Experience working with telematics platforms, fleet management software, or equipment maintenance systems is an asset
- Strong proficiency with MS Office Suite (Word, Excel, Outlook)
- Excellent verbal and written communication skills
- Strong analytical, organizational, and time management skills
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Detail-oriented with a proactive approach to problem solving
- Confident self-starter with a strong work ethic and positive attitude

The base pay range for this role is: $47,600 to $65,500 per year depending on experience.
This is a hybrid role based in Coquitlam, British Columbia.
