Executive Meeting Manager

You love working with people—planning meetings down to the smallest detail and ensuring everything comes together flawlessly. You take pride in creating exceptional event experiences that keep clients coming back. In this role, you sell the hotel's meeting space to maximize revenue by soliciting, negotiating, and securing new and repeat business. Once booked, you manage every aspect of the event including space, timelines, accommodations, equipment, menus, and billing—bringing each function to life with precision and care. In the role of Executive Meeting Manager, you will:

• Be an Ear that Hears – Understand client needs and respond quickly to inquiries, concerns, and changes, delivering a seamless and personalized experience that builds long-term relationships.

• Be Someone that Asks –Proactively pursue new business through calls, site visits, networking, and referrals to drive revenue and grow your client base.

• Be an Innovator – Identify new opportunities and create memorable event experiences that set your hotel apart and exceed client expectations.

• Be a Safety & Security Agent – Follow all hotel policies and procedures while anticipating potential challenges and escalating concerns when needed.

Job Requirements

• Minimum 2–3 years of experience in hotel sales, catering, or event management required; hotel experience preferred
• Post-secondary education in Hospitality, Business, or related field preferred
• Strong knowledge of event planning, banquet operations, and hotel sales processes
• Proven ability to sell, negotiate, and close business while managing client relationships
• Excellent organizational and time-management skills with the ability to manage multiple priorities
• Strong communication skills—both written and verbal—with a high level of professionalism
• Experience with Marriott sales and event management systems (CI/TY, or similar) is an asset
• Ability to work flexible hours including evenings, weekends, and holidays as required

Job Duties

• Solicit, negotiate, and book meetings, events, and group business
• Plan and coordinate event details including space, catering, audiovisual, and billing
• Prepare and distribute BEOs, contracts, and event documentation
• Act as the main point of contact for clients and coordinate with hotel departments
• Maintain clear communication to ensure smooth execution and client satisfaction
• Anticipate needs and resolve concerns in a timely and professional manner
• Conduct site inspections and showcase hotel facilities
• Maintain accurate records, files, and sales system updates
• Coordinate room setups, amenities, and special requests
• Monitor event changes, billing details, and post-event follow-up
• Support administrative tasks and participate in sales activities to generate new business
• Perform other duties as assigned to support the Sales & Catering team
