JOB DESCRIPTION - PROJECT COORDINATOR
STUDIO:
Ste Marie is an internationally recognized concept development and interior design studio with offices in Vancouver and Toronto. We develop hospitality, mixed-use, food and beverage, wellness and commercial projects for renowned clients domestically and internationally. We see the world through the lens of hospitality, constantly prioritizing the human experience in our work.
We offer end-to-end design services from concept development, brand ideation, interior design, FF&E selection, procurement and coordination, and art and styling services.
ROLE:
As Project Coordinator you have foundational expertise in Interior Design and/or Construction for Hospitality and/or Hi-Rise Residential sectors. You will combine technical knowledge, organization, and coordination skills to support the successful execution of functionally beautiful spaces for our clients. Supporting the Technical Directors, Project Managers, and Design team, you will assist in coordinating
projects through the construction documentation and construction administration phases. Utilizing strong communication, technical understanding, problem-solving, and project coordination skills, the Project Coordinator will support the management of project documentation, consultant coordination, contract administration processes, and technical deliverables.
This role is integral in ensuring project teams follow studio standards, workflows, and best practices while supporting the accurate execution of the design intent. You will contribute to the ongoing improvement of Ste Maries project management systems, technical standards, and internal processes while helping maintain organized, efficient, and collaborative project delivery.
The successful candidate can translate design and technical information into clear coordination and documentation support for project stakeholders. Your work ethic, attention to detail, collaborative mindset, and proactive approach will play an important role in supporting conceptually driven excellence in design.
RESPONSIBILITIES:
Project Coordination & TechnicalTeamSupport:
- Support theProjectTeamsthroughout project delivery, with a primary focus ontheConstruction Administration phase
- Work closely with theProject Teamsto understand project design intent, contract requirements, consultant coordination needs, and technical project execution requirements.
- Assist with administration and coordination of Contract Administration procedures and documentation(changemanagement).
- Assistin preparing Design Site Instructions (DSIs), supplemental drawing packages, AutoCAD revisions, and ID specification updates as directed by the Technical Director or Project Manager
- Assistwith communication and coordination between clients, consultants, contractors, vendors, and internal project teams.
- Assistwith the creation, maintenance, and archiving of internal templates, standard details, and technical resources for future project use.
- Ensure all project documentation aligns with studio standards, workflows, templates, and version control procedures.
- Support ongoing improvements to studio workflows, technical standards, procedures, and documentation systems.
- Maintain awareness of construction drawing standards, detailing coordination, and interior construction best practices.
- Support PMs project responsibilities during periods of high workload or absence tomaintainproject continuity.
QUALIFICATIONS
- Diploma or Degree in Interior Design, Interior Architecture, or a related discipline.
- 2+ years of experience supporting Interior Design and/or Architecture projects, preferably within Multi-Residential, Hospitality, Food & Beverage, or Tenant Improvement sectors.
- Strong understanding of interior design project workflows, construction documentation, and contract administration processes.
- Ability to read, interpret, and coordinate technical drawing packages and consultant documentation.
- Experience reviewing construction submittals, finish packages, and technical documentation is considered an asset.
- Proficiencyin AutoCADrequired; experience preparing supplemental technical drawings and revisions is preferred.
- Proficiencywith Microsoft Office 365 and digital project management/file-sharing platforms.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and evolving project needs.
- Detail-oriented with strong written and verbal communication skills.
- Positive, collaborative, and proactive team player with strong interpersonal skills.
- Ability to thrive in a fast-paced design environment whilemaintainingprofessionalism and accuracy.
- Ability to embody the studios design approach, technical standards, and collaborative culture.
