Administrative Team Member (Counselling Office)

About Us

Lemon and Oak Counseling is a new private practice that is a client-centered counselling practice dedicated to supporting mental wellness in our community. We provide compassionate, confidential, and culturally responsive care in a safe and welcoming environment.

Position Summary

We are seeking a reliable and organized Administrative Team Member to support the day-to-day operations of our counselling office. This role is essential in creating a welcoming experience for clients while ensuring smooth administrative processes behind the scenes.

Key Responsibilities

  • Greet clients in a warm, respectful, and professional manner
  • Manage appointment scheduling, cancellations, and reminders
  • Answer phone calls, emails, and general inquiries
  • Maintain confidential client files and records in compliance with privacy standards
  • Process payments, receipts, and basic billing tasks
  • Support therapists with administrative needs
  • Maintain office organization, supplies, and overall environment
  • Use practice management software for scheduling and documentation

Qualifications

  • Previous administrative or reception experience (healthcare or counselling setting preferred)
  • Strong organizational and time-management skills (hospitality experience will be considered)
  • Excellent communication and interpersonal skills
  • High level of professionalism and discretion when handling sensitive information
  • Comfortable using computers, scheduling systems, and basic office software
  • Ability to multitask and work independently

Assets

  • Experience with electronic medical records or scheduling systems
  • Knowledge of privacy legislation and confidentiality practices
  • Experience working in culturally diverse or community-based settings
  • Familiarity with trauma-informed or client-centered environments
