Lemon and Oak Counseling is a new private practice that is a client-centered counselling practice dedicated to supporting mental wellness in our community. We provide compassionate, confidential, and culturally responsive care in a safe and welcoming environment.
Position Summary
We are seeking a reliable and organized Administrative Team Member to support the day-to-day operations of our counselling office. This role is essential in creating a welcoming experience for clients while ensuring smooth administrative processes behind the scenes.
Key Responsibilities
- Greet clients in a warm, respectful, and professional manner
- Manage appointment scheduling, cancellations, and reminders
- Answer phone calls, emails, and general inquiries
- Maintain confidential client files and records in compliance with privacy standards
- Process payments, receipts, and basic billing tasks
- Support therapists with administrative needs
- Maintain office organization, supplies, and overall environment
- Use practice management software for scheduling and documentation
Qualifications
- Previous administrative or reception experience (healthcare or counselling setting preferred)
- Strong organizational and time-management skills (hospitality experience will be considered)
- Excellent communication and interpersonal skills
- High level of professionalism and discretion when handling sensitive information
- Comfortable using computers, scheduling systems, and basic office software
- Ability to multitask and work independently
Assets
- Experience with electronic medical records or scheduling systems
- Knowledge of privacy legislation and confidentiality practices
- Experience working in culturally diverse or community-based settings
- Familiarity with trauma-informed or client-centered environments
