THE ROLE
Our client is a fast-growing, privately held investment and advisory firm supporting a dynamic portfolio of U.S.-based companies.The HR Specialist plays a key role in managing day-to-day HR operations with a strong focus on payroll, compliance, and employee support. This role ensures accurate and timely payroll processing, maintains up-to-date employee records, and supports onboarding, benefits administration, and policy compliance. The ideal candidate brings a solid understanding of California employment law and thrives in a fast-paced, multi-tasking environment. This is a hands-on role requiring strong attention to detail, communication skills, and the ability to navigate sensitive employee matters with discretion and professionalism.
Responsibilities
- Administer end-to-end payroll processing (bi-weekly or semi-monthly) in coordination with Finance, ensuring accuracy in hours worked, PTO, and leave tracking
- Maintain and update employee records in HRIS and payroll systems
- Oversee onboarding and offboarding processes, including documentation, systems access, and orientation support
- Draft, update, and implement HR policies and procedures, ensuring compliance with applicable federal, state, and local laws
- Monitor and ensure ongoing compliance with employment regulations (e.g., wage & hour, EEO, FMLA, OSHA)
- Coordinate audit preparation and maintain HR documentation to support legal and regulatory readiness
- Manage employee benefits programs including health, dental, vision, disability, 401(k), and voluntary offerings
- Serve as a liaison between employees and benefits providers, and lead open enrollment and benefits orientations
- Act as the first point of contact for employee inquiries and concerns, escalating as appropriate
- Support managers with employee relations and performance management processes, including tracking of reviews and improvement plans
- Maintain and improve internal HR workflows and documentation for greater efficiency
- Partner with hiring managers to assist in recruitment coordination and new hire processes
- Support training initiatives and ensure mandatory compliance trainings are tracked and completed
- Generate regular HR reports and workforce analytics (e.g., headcount, PTO trends, turnover)
- Apply and maintain expertise in California employment law, including wage & hour compliance, FEHA, CFRA, pay transparency, and mandatory training requirements
- Oversee legal documentation related to payroll practices, break schedules, final pay, vacation payouts, and employee notices
- Lead resolution of employee relations matters with a strong understanding of California-specific requirements
Qualifications
- Bachelors degree in Human Resources, Business Administration, or a related field.
- 3+ years of experience in HR operations, payroll administration, and benefits coordination.
- Strong understanding of U.S. employment legislation; expertise in California employment law is a must.
- Experience working with HRIS and payroll systems (e.g., ADP, Gusto, Payworks, Rippling, BambooHR, etc.).
- Proven ability to maintain confidentiality and handle sensitive information with discretion.
- Strong organizational and time management skills; able to manage competing priorities in a fast-paced setting.
- Excellent verbal and written communication skills, with the ability to interact effectively with employees at all levels.
- Detail-oriented with a high degree of accuracy in data entry and recordkeeping.
- HR certification (e.g., PHR, SHRM-CP) is an asset but not required.
