Blackstone is looking for a detail-oriented and organizedProject Administrator to support the day-to-day execution of repair projects within our Repair Services division. This role plays an important part in maintaining project documentation, coordinating logistics, and writing technical reports to support the Project Managers.
The ideal candidate brings a technical background, strong communication skills, and the ability to manage multiple moving parts in a fast-paced, hands-on environment. Whether you have prior industry experience or are a recent technical graduate with strong administrative skills, this role offers exposure to a range of project functions.
Responsibilities
- Prepare and maintain technical reports to support Project Managers, summarizing repair work, 3D scan results, and project updates.
- Ensure all reporting is clear, accurate, and formatted to internal standards.
- Arrange transportation and shipping for incoming and outgoing equipment based on project requirements.
- Prepare and manage shipping documentation, including packing slips and customs paperwork.
- Source and procure materials such as fasteners, gaskets, paint, and other components required for equipment repairs.
- Track orders and follow up with vendors to ensure timely delivery of materials.
- Create, organize, and maintain digital and physical project job folders.
- Ensure all documents are correctly labeled, stored, and version-controlled for easy access.
- Support the closeout of projects by verifying that all required documentation has been completed and filed.
- Work closely with Project Managers and team members to ensure timely handover of closed projects.
- Provide general administrative support to the project team as needed.
- Facilitate communication between departments to ensure alignment on project progress and requirements.
- Assist with meeting preparation, scheduling, and coordination of project-related activities.
- Support continuous improvement of documentation and administrative processes within the team.
- Additional duties as required.
Qualifications
- High school diploma or equivalent (required).
- Associates or Bachelors degree in Business Administration, Project Management, or a related field (preferred).
- Familiarity with technical repair documentation and project closeout procedures is preferred.
- Strong written communication skills with an ability to produce clear, technical documentation.
- Experience in logistics, procurement, or project administration is an asset.
- Detail-oriented with strong organizational skills.
- Proficient in Microsoft Office and comfortable working with shared file systems.
- Ability to manage multiple priorities and support several ongoing projects at once.
- Strong interpersonal skills and a team-oriented mindset.
- Experience in a repair shop or industrial environment is an asset, but not required.
