Position Summary

The Dispatcher plays a vital role in the success of our logistics operations, ensuring the accurate, timely, and safe delivery and return of rental equipment. This is a hybrid role that combines both dispatch coordination and hands-on driving responsibilities. Depending on the season and operational needs, the role may involve approximately 50% time on the road and 50% in the office dispatching. As a key liaison between warehouse, drivers, and customer service, this role supports seamless event execution and helps uphold our standards for complete orders, timely performance, and quality service.

Key Responsibilities

  • Plan, assign, and dispatch delivery and pick-up routes based on volume, location, and truck capacity
  • Maintain real-time communication with Drivers and Helpers; monitor route progress and adjust as needed
  • Update dispatch software (Point of Rental) daily with route assignments, notes, and status updates
  • Collaborate with Warehouse, Customer Service, and Fleet teams to resolve delivery/pick-up issues
  • Conduct daily truck checks to ensure readiness, cleanliness, and safety
  • Take the wheel and drive our fleet of trucks, ranging from 3-ton to 5-ton trucks, with skill and precision
  • Present a client-focused approach, engaging in effective discussions, and adeptly troubleshooting on-site issues to ensure utmost client satisfaction
  • Safely handle the loading and unloading of furniture from our trucks, demonstrating attention to detail and care for our valuable inventory
  • Utilize floor plans and client instructions to skillfully install furniture at the event venue, ensuring everything is precisely arranged
  • Record and manage driver performance metrics; support in issuing scorecards and coaching sessions
  • Communicate clearly with internal teams and clients regarding timelines, changes, and concerns
  • Maintain compliance with Department of Transportation and provincial transportation safety regulations
  • Keep logs, reports, and dispatch data organized and up to date
  • Other duties as assigned

Requirements & Qualifications

  • Industry Experience: Prior experience in event rentals, logistics, film, hospitality, or related sectors is an asset.
  • Dispatching Knowledge: Experience dispatching vehicles and crews in a fast-paced environment, ideally with routing software or fleet management tools.
  • Technology Skills: Proficient with Microsoft Office and Microsoft Teams, with familiarity in logistics or rental systems (Point of Rental preferred).
  • Driving Credentials: Possession of a valid Class 5 drivers license with a clean drivers abstract within the last 30 days is preferred.
  • Local Knowledge: Familiarity with local road networks, venues, and traffic patterns is considered an advantage.
  • Certifications: WHMIS and Worker Health & Safety Awareness certifications (or willingness to complete upon hire).
  • Communication: Strong verbal and written communication skills, with the ability to coordinate and communicate effectively across teams.
  • Flexibility: Willingness to work variable shifts including evenings, weekends, and holidays based on event demands.
  • Problem-Solving: Ability to adapt quickly to changing circumstances and resolve issues under pressure.
  • Team Player: Collaborative approach to working with internal teams and external clients or vendors.

Working Conditions:

  • May occasionally be required to work outside or in warehouse bays exposed to the elements.
  • Moderate to high noise environment typical of a logistics and warehouse operation.
  • Physical work involving frequent lifting, bending, and standing.
  • May be required to drive in varying weather conditions, including rain, snow, and extreme temperatures, while ensuring safe and timely deliveries.
