Overview:Our client is seeking an intermediate, proactive Executive Assistant/Personal Assistant to support their co-founder and executive chairman with extensive calendar management and exceptional travel coordination along with some additional executive support for the CEO, as needed. The EA/PA must be forward thinking and enjoy working within a small, entrepreneurial team that is results driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The EA/PA will have the ability to work independently on projects and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
What you will be doing:Executive Support
  • Completes a broad variety of administrative tasks for the Executive Chairman & CEO including: managing an extremely active calendar of appointments; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Plans, coordinates and ensures the schedule is followed and respected.
  • Communicates directly and professionally on behalf of the Executive Chairman & CEO, with Board members, staff, and senior external parties providing a bridge for smooth communication. Composing and preparing correspondence that is sometimes confidential; Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Chairman, including those of a sensitive or confidential nature. Determines appropriate course of action or response demonstrating leadership to maintain credibility, trust and support.
  • Works closely and effectively with the Chairman to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place and prioritizing effectively.
Personal Support
  • Organize and arrange home deliveries when required, pick up groceries when Executive is out of town
What you must have:
  • A minimum of 3- 5 years of experience required as an EA with a keen interest and commitment in EA/PA support work.
  • Must be comfortable using Apple devices (Mac, iPhone ) and using Google suite (Google docs, Google sheets, Google calendar etc.)
  • Must be tech savvy to book travel or research solutions (or learn new digital productivity tools), using sophisticated or potentially complex travel booking web sites across multiple time zones
  • Ideally located in Vancouver
  • Willingness to work on a 1-year contract to start (contractor will be paid for up to 5 sick / personal time off days as well as Canadian stat public holidays)
  • Must have own computer/phone and equipment
  • Someone flexible to work within the hours of 8AM-6PM as needed/required
