As the New Unit Coordinator, you will be responsible for bringing over $100M of new vehicles & equipment (units) into service each year. You will action the project plans provided by the Applications team (Application Specialists and Senior Application Specialists) to facilitate the procurement and commissioning of new units. This includes the drafting and execution of new Request for proposals(RFP)/Quotes (RFQ) activities. The New Unit Coordinator works closely with the contracted vendors to ensure successful delivery of the units. The New Unit Coordinator sets the new units up in Fleet & Inventory's systems to enable effective lifecycle management of these operational assets. The units procured by the New Unit Coordinator are deployed for use in front line City operations, enabling service delivery from all Business Units. Primary duties include:

  • Initiate activities to drive the progress of new unit order/build/commissioning, ensuring Vendors and Commissioning have required information and understand priority assigned to each unit.
  • Monitor schedule, cost, and quality for each unit, escalating where appropriate to correct issues and consulting with subject matter experts from the Applications team for technical support.
  • Create draft RFX documents with input from subject matter experts from the Applications team, the customer Business Unit(s), and additional parties as needed.
  • Provide information to the Buyer to facilitate responses to posted RFX inquiries as required.
  • Enter required data in Fleet & Inventory's Asset and Maintenance Management Systems (MMS) including financials from the corporate financial tracking solution and technical details from unit specifications.
  • Collect and file records including scale tickets, photos, inspection records, and National Safety Mark (NSM) evidence.
  • Support Rental Coordinator with seasonal rental unit planning, dispatch, and coordination.

Qualifications

  • A completed 2 year diploma in Business Administration, Mechanical Engineering Technology, Supply Chain Management or a related discipline and at least 3 years of experience in customer service and vendor relations, project coordination, and procurement and courses in project management OR,
  • A completed 1 year certificate in Business Administration, Supply Chain Management or a related field and at least 5 years of experience in customer service and vendor relations, project coordination, and procurement and courses in project management OR,
  • An Automotive Service Technician (AST) or Heavy Equipment Technician (On-Road and/or Off-road) certification and Journeyperson designation or equivalent Interprovincial Red Seal recognized by Alberta Apprenticeship and Industry Training and at least 5 years of experience, including 3 years working in the fleet management or vehicle maintenance industries, 2 years of customer service and vendor relations experience, coordinating procurement of vehicles, equipment and/or parts, and 1 year of project coordination experience and courses in project management.
  • A valid Class 5 Driver's License with no more than 6 demerits and no charges pending.
  • This position manages over 200 active units at a time spanning multiple calendar years with varying complexity. Working knowledge of procurement contracts and RFX documents is critical.
  • Intermediate proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint) is essential.
  • Demonstrated experience in vendor relations and project management will be an asset.

Pre-employment Requirements

  • Must obtain a City of Calgary operator's permit
  • Successful applicants must provide proof of qualifications.

Workstyle

  • This position works full time from the office, with no remote work options available.

Note: This position will require participation in a paid standby rotation for one week each month.

Position and Pay Information

  • Union: CUPE Local 38
  • Position Type: 2 Temporary (up to 22 months)
  • Compensation: Pay Grade 9 $41.49 - 55.51 per hour
  • Hours of work: Non-standard 40 hour work week, 6:15am to 4:45pm
  • Days of work: This position works a 4-day work week. Monday to Thursday or Tuesday to Friday.
