Job Description:
Primary Purpose
The Industry Engagement Coordinator works on the Industry Engagement (IE) team within Co-operative and Experiential Education (CEE) at the University of Waterloo. The IE team drives awareness and leads generation, ultimately supporting co-op job development.
The Coordinator plays a key role in the planning of events and activities for CEE staff; targeted at generating employer leads, strengthening existing employer relationships through engagement and recognition programs. This role will facilitate vital, collaboration-rich relationships both internal and external to the University.
The Coordinator manages the research, planning, organization and communication of industry event attendance, logistics and bookings, including event staff scheduling and training, and leads generation targets for key, strategic events. The Coordinator ensures all materials and promotional items are well-maintained and stocked, properly inventoried, scheduled out as needed, and will also support purchasing of event and promotional materials within a defined budget.
With guidance from the Industry Engagement Manager, the Coordinator will produce regular reports on the value of the above-mentioned outreach activities and makes recommendations for future planning. In addition, the Coordinator will monitor and track all expenses related to the event plan, including the identification of cost-saving opportunities.
Key Accountabilities
Oversee targeted event plan and outreach activities in alignment with the IE strategic plan.
• Lead the development and execution around consistent processes for engagement activities including targeted event and industry research, event scenario development, pre-event meetings, post-event feedback, regular team feedback collection for continuous improvement of various promotional activities and reporting on plan outcomes; all of which align with strategic job development areas.
• Support events hosted by CEEFacilitate staff scheduling and training around event execution.
• Creatively pursue and recommend tactics to increase reach and impact on target audiences.
• Ensure our presence at events consistently reflects a positive brand image for CEE and the University of Waterloo
• In some cases, process job development leads, using the customer relationship management (CRM) tool and monitor their success.
• Partner with other Waterloo departments (e.g., Office of Advancement, Office of Research, Alumni Relations, Faculties, Centers and Institutes, School of Planning, etc.) to collaborate and develop lead generation events and activities.
• Supervise a co-op student as part of delivering on the overall role accountabilities
Support strategic engagement activities to further drive lead generation
• Seek opportunities to engage alumni through outreach channels.
• Support employer engagement activities which could include webinars, pre-event outreach, and industry partnerships.
• Co-ordinate and liaise with external vendors where required.
Manage the event-related budget in a fiscally responsible manner.
• Forecast budget amounts for annual event plan in collaboration with the Industry Engagement Manager.
• Identify and recommend cost-saving opportunities and make informed purchasing decisions.
• Advise when costs will exceed budget allocation and provide proposals and rationale for purchases as necessary.
Manage the procurement and effective use of outreach materials and manage the inventory of materials.
• Partner with Communications Engagement Digital Experience (CEDE) team to evaluate needs and develop print and digital communications and other required materials for events, ensuring alignment with the University’s master brand.
• Collaborate with internal departments such as University Relations, Creative Services, and external vendors such as promotional product representatives to co-ordinate the production of materials, including promotional items, employer gifts, and all related materials.
• Manage inventory of materials including promotional items, employer gifts, and all event-related materials.
Required Qualifications
Education
• University undergraduate degree preferred.
• Completion of some post-secondary education or equivalent education in combination with experience will also be considered, in communications or marketing, event management or related discipline.
Experience
• At least 3-5 years in a marketing and communications or event management role.
• Solid research skills via a variety of means: using existing or generating new data through call campaigns, face-to-face interviews or focus groups, reputable internet sources, etc. with the ability to build comprehensive reports and recommendations.
• Experience using a customer relationship management (CRM) system is an asset.
• Experience with the supervision of others is an asset.
• Experience working in a fast-paced, collaborative, team-based environment.
• Prior business development, sales or recruitment support experience is an asset.
• Experience working with remote teams and effectively mobilizing alternative forms of connection and communication.
Knowledge/Skills/Abilities
• Superior organization skills, able to develop event outlines with ease, develop critical paths and reports.
• Exceptional written, verbal and interpersonal communication skills.
• Strong collaboration and empowerment mindset.
• Confident and experienced negotiator with practiced contract development skills.
• Strong knowledge of strategic talent management and campus recruitment is an advantage.
• Understanding of social media for marketing is beneficial.
• Technical: Intermediate level skills in Word and Excel are required. Experience with CRM software is a plus
