JOB DESCRIPTION
The Human Resources /Labour Relations Associate supports HR Business Partners with the effective implementation of HR policies, procedures, and programs, and specifically ensuring the HR Information System has accurate & reliable data. The position is accountable to collect, update, develop reports, analyze information, and interpret people data to inform business decisions. The Human Resources /Labour Relations Associate also supports employees and managers with a timely and accurate response to HR inquiries, support the implementation of talent management programs, and support HR process improvement activity.
RESPONSIBILITIES

  • Facilitate proper employee documentation and records in HR systems, including writing employment documents, maintaining reports and data sources, compiling reports, and researching information as needed.
  • Review HR information system data to ensure data integrity; search for trends in complex HR data and identify root causes of data integrity issues to develop processes and work instructions.
  • Administer, implement, reinforce, and suggest modifications to HR policies, programs, and procedures. Audit HR policies, programs, and procedures against relevant legislation and best practices and recommends improvements.
  • Provide first level information to employees and managers on HR policies, programs, and procedures. Resolve HR inquiries or escalate if required.
  • Assist the HR Managers and HRBPs in the preparation and delivery of HR training material, leadership development programs, and other talent management strategic initiatives.
  • Support the HRBPs and HR Manager in implementing talent management programs (e.g. attendance and performance management, succession planning, diversity and inclusion) and special projects.
  • Assist in the delivery of the Employee Engagement program, including promoting the survey to achieve maximum participation, preparing and analyzing data, creating presentations to the business and assisting in the scheduling and facilitating employee experience or action planning.
  • Support HR and Management with aligning organizational structure. Assists leaders with developing consistent and accurate job descriptions, works with HRBP to ensure each job is evaluated fairly and according to process, gathers data for cross organizational alignment reviews, and ensures organizational charts are accurate.
  • Facilitate pre-hire onboarding, new hire and post hire orientation, and offboarding, including managing logistics with appropriate teams (e.g. IT, HR shared services), ensuring new hire paperwork is submitted in a timely and complete manner, coordinating orientation, assisting with exit interviews if required, ensuring knowledge transfers are completed, and other related duties.
  • Support the safe and effective return to work process. Reviews accommodation candidates against current openings to help facilitate accommodation matches and works with HSWE, Manager, HRBP and Employees to facilitate safe and effective returns to work.
  • Track and process leave requests. Collect and manage medical documentation for absences and disability. Address and resolve general attendance questions. Process and approve requests for emergency vacation days. Respond and manage voicemails related to attendance issues.
  • Schedule, host and prepare data for meetings. Conduct and document probationary reviews. Organize and distribute orientation materials. Prepare and distribute reports for production leaders and the business. Compile and report on attendance, discipline, suspensions and grievances.

QUALIFICATIONS

  • Minimum 2 years' of experience in Human Resources.
  • Knowledge of ethical practices in Labor Relations and understanding of legal implications for various labor-related decisions
  • Experience working with HR information systems.
  • Bachelor's degree (or equivalent) in Human Resources, Business Management, Sociology, or related field.
