The Administrative Officer plays a vital role in ensuring the smooth and effective operation of the Terry Fox Foundation's philanthropy team. Reporting to the Sr. Director, Campaign Operations, but also playing a critical role in supporting the Chief Philanthropy Officer, this position provides comprehensive administrative support with a priority focus on assisting the transformational fundraising team.

This role is the backbone of our fundraising team's operations, ensuring efficiency in scheduling, reporting, donor interactions, and campaign support. The Administrative Officer provides critical support in managing logistics, communications, data entry, and coordination across multiple teams, allowing fundraisers to focus on building meaningful donor relationships.

What You'll Achieve

  • Administrative & Scheduling Support: Manage calendars, schedule key meetings, and coordinate logistics for the fundraising team, ensuring seamless workflow and time management.
  • Campaign Coordination: Support the Sr. Director, Campaign Operations, in tracking and managing fundraising campaign timelines and deliverables.
  • Donor Support & Data Management: Maintain accurate donor records, assist with prospect research, and generate reports from the CRM system.
  • Event & Meeting Logistics: Assist in planning and executing donor meetings, stewardship events, and internal team gatherings.
  • Document & Presentation Preparation: Draft correspondence, prepare presentations, and support report development for internal and external stakeholders.
  • Cross-Team Collaboration: Work closely with finance, marketing, and human resources to ensure administrative needs align with organizational priorities.
  • Expense & Budget Tracking: Support budget reconciliation, expense tracking, and financial documentation related to fundraising activities.
  • Process Improvement: Identify and implement ways to improve administrative efficiency, ensuring streamlined operations for the team.

Who You Are

  • A highly organized and detail-oriented professional with at least 3-5 years of administrative experience, ideally in fundraising or nonprofit settings.
  • A proactive problem-solver who thrives in a fast-paced, multi-tasking environment.
  • A strong communicator with excellent written and verbal skills.
  • A collaborative team player who enjoys supporting multiple stakeholders.
  • A tech-savvy individual with experience in CRM systems (e.g. Salesforce), Microsoft Office, and project management tools.
  • A mission-driven individual who is inspired by Terry Fox's legacy and committed to playing a role in ending cancer.

  • Fundraising team members are fully supported and able to focus on donor engagement.
  • Administrative processes run efficiently, with clear workflows and proactive solutions.
  • Campaign operations, donor communications, and event logistics are well-organized and executed flawlessly.
  • Internal teams experience strong cross-functional coordination.
