Reporting to the Lead, Provincial Scheduling, the Scheduler is responsible for the creation, management, and review of all operational schedules, including but not limited to Ground Operations, Mobile Integrated Health, Fleet, Air Ambulance, and the Communication Centre. This position balances the availability and resources against incoming requests to ensure all tasks are completed on time and adjust schedules as necessary to accommodate changes in priorities or deadlines. This position is also responsible for managing payroll processes, maintaining accurate employee records, approving leave, and serving as the primary point of contact for relief staff. The Scheduler ensures compliance with collective agreements and organizational policies while providing high-quality customer service to employees and managers across multiple healthcare sites.

This position is critical in ensuring precise and effective scheduling to ensure MHNL can meet the obligations of our contracts for service. The Scheduler will be responsible for ensuring an exact capture of all unionized employee hours worked to support Payroll in providing accurate pay for all employees.

This role requires strong attention to detail, discretion, and the ability to work independently in a fast-paced, high-volume environment. The Scheduler also contributes to employee wellness, supports HR processes, and helps maintain operational efficiency across the organization.

Professional Qualifications & Competencies:

  • Completion of a one-year business college program.
  • Minimum of two years' experience in scheduling and using scheduling software complemented by two years of administrative experience.
  • Advanced knowledge of Vector Solutions software considered a strong asset.
  • Extensive knowledge of the policies, structure and functions of internal administrative systems and practices applicable to private industry.
  • Require superior diplomacy and interpersonal skills in dealing with difficult situations.
  • Proficiency in Microsoft office including Word, Excel, Access, PowerPoint, and Outlook, etc.
  • Prior experience working with databases and knowledge of medical terminology is an asset.
  • Must maintain very close attention to detail.
  • Superior diplomacy in professionalism and confidentiality required.
  • Excellent communication and interpersonal skills
  • Self-starter that can work independently but also be a strong team player.
  • Highly organized with strong time management skills and proven ability to prioritize.
  • Some independent judgment and initiative required in the follow-up for special assignments, programs and issues if requested.
  • Maintains corporate confidentiality in accordance with all Provincial, Federal, or corporate regulations or policy.
  • Ability to solve problems, meet deadlines and effectively manage multiple tasks.
  • Demonstrate excellent organizational and time management skills to adequately prioritize workload.
  • Ability to work well under pressure, often under strict time deadlines.
  • Demonstrate self-direction, good judgment, and decision-making skills to prioritize incoming work, composing correspondence, and dealing with other employees and the public.
  • Demonstrate effective listening skills and the ability to follow instructions.
  • Knowledge of online scheduling software.
  • Knowledge of payroll procedures and familiarity with the NL Labour Standards.
  • Strong understanding of collective agreements and HR policies
  • Excellent organizational, communication, and problem-solving skills

Pay Range: $45,000 to $55,500.

The Base Pay range may vary depending on the successful candidate or other relevant job-related factors such as knowledge, skills, qualifications, experience and education/training. In addition to Base Pay, eligible Medavie employees may participate in various performance-based incentive programs. Payments under these programs are discretionary and subject to both individual and organizational results.
