Job Summary
This position reports to the Manager for Primary Health Care and is responsible for the administrative support to the staff at Western Bay Clinic in the provision of primary health care services, with potential support to alternate sites using a hub and spoke model. The position will involve a range of clerical and administrative tasks including but not limited to: maintenance and support of the Med Access electronic health record (EMR)/CorCare, client registration, appointment procurement and confirmation of appointment times with clients, distribution and filing of correspondence, filing of loose reports, copying of reports, record retrieval, processing of and sending referrals. Other computer programs/systems utilized may include but are not limited to all Microsoft Office Applications; Client and Referral Management System (CRMS); Meditech; Provincial Client Registry/Unique Personal Identifier; Client Index Database and Inter-site Transfer of Client Records Database. Other duties include answering phones, ordering, receiving, stocking supplies, and other related tasks.

Occasionally required to lift or move objects up to 10 lbs., boxes, files, equipment.
Regularly required to sit performing work on a computer.
Occasionally required to bend, stretch, reach, stand and walk within the office or clinic environment.
Regularly required to perform fine finger/precision work while sitting and using a computer mouse to send and respond to emails or work on documents.
Visual concentration is required while transcribing, entering or formatting text/data.
Auditory concentration is regularly required when performing reception duties or answering the telephone. May experience frequent interruptions from public/clients.
Exact results and precision is constantly required when entering data/text, maintaining files and completing statistical reports.
Occasionally experience time pressures/deadlines.

Job Qualifications
Successful completion of a one-year Office Administration program from an approved/recognized college is required.
Successful completion of an approved/recognized medical terminology course is required.
Use of personal vehicle.
A satisfactory record of work performance is required.

*Proof of a current office administration program and medical terminology is required. To be considered current, they must have been completed within the last five years, unless it has been used in recent positions. This must be demonstrated on the application form.

** If medical terminology isn't current, a medical terminology test may be administered by the Human Resources Client Services Department.
