Gardiner Centre is a public engagement unit within the Faculty of Business Administration at Memorial University. We provide non-credit professional development and leadership training for supervisors, managers, executives, professionals, and entrepreneurs through practical, relevant programs delivered in flexible, short formats. Our dedicated training facility supports convenient scheduling and year-round programming tailored to client needs. The team includes nine staff members and a broad network of instructors, including Memorial faculty, business practitioners, partners, and thought leaders. Gardiner Centre is seeking an organized, analytical professional to support the successful operation of our training centre. This is a full-time position with flexible daily start times between 8:00 a.m. and 9:00 a.m. Hybrid work may be available in accordance with Memorial's Remote Work Arrangements and operational requirements. This contractual position is reviewed annually for renewal.
DUTIES
Reporting to the Director of the Gardiner Centre, the Administrative Staff Specialist II provides financial and administrative support and provides guidance the work of the Centre's Accounting Clerk. The role coordinates HR, budget, finance, and administrative services; assigns and monitors accounting functions such as invoicing, accounts payable/receivable, and collections; and compiles budget information while monitoring accounts. Responsibilities include preparing and administering contracts with partners, vendors, and instructors; maintaining records related to finances, travel, contracts, and purchasing; and preparing and analyzing financial reports, reconciling monthly statements, and investigating discrepancies. The position also prepares year-end closing statements and entries aligned with Banner and University financial reporting; coordinates HR activities including contract administration, leave management, payroll analysis, and recruitment; liaises with the Faculty of Business Administration Senior Administrative Officer on budgets and transactions; performs general administrative duties and follow-up; and acts as a liaison with internal units such as finance, administrative services, facilities management, human resources, and the Signal Hill Campus business office.
QUALIFICATIONS
Considerable experience (3–5 years) in progressively responsible financial and administrative roles; completion of most coursework toward an undergraduate degree and/or a three-year diploma program; or an equivalent combination of experience and training may be considered. The ideal candidate will have experience in financial and administrative functions such as budget preparation, data compilation and analysis, recruitment, and leave management; strong analytical, organizational, interpersonal, and communication skills; attention to detail; the ability to work independently; and proficiency with Microsoft Office (Word, Excel, Outlook, Teams, and PowerPoint). Experience with university policies and procedures, the Banner Administration System (Finance and HR), and OnBase is considered an asset.
SALARY $57,336 - $67,257 per annum (Non-Bargaining)
