Admin and Operations Coordinator

Location: Hybrid (Moncton, NB Office + Potential occasional work from home)
Position Type: 8-month contract, Part-time or Full-time (20-35 hours/week), possible renewal
Compensation: $18/hr to $25/hr, based on experience and capacity

About the Role

We are seeking a dynamic, highly organized Admin and Operations Coordinator to support the daily operations and evolving needs of a fast-growing, newly-formed not-for-profit organization. Reporting to the Executive Director, this 8-month contract position will play a key role in building the systems, processes, and administrative backbone of Saveur NB. The role may be part-time or full-time, to be discussed with the successful candidate. The contract may be renewed, extended, or transitioned to a permanent position based on performance, organizational needs, and financial capacity.

This role is ideal for someone who is passionate about local food, who thrives in a fast-paced, collaborative environment, who can wear multiple hats and simultaneously balance operational details with long-term vision, and who thrives on contributing to meaningful change through structured, behind-the-scenes leadership.

Key Responsibilities

  • Provide day-to-day administrative support, including scheduling, correspondence, documentation, records coordination, and office management
  • Support financial administration, including expense tracking, invoicing, and coordination with external bookkeepers and accountants
  • Coordinate logistics for programs, events, and meetings, including materials preparation, scheduling, documentation, supplier coordination, and follow-up
  • Support the development of internal documentation, including SOPs, process documents, reports, proposals, and policy tools
  • Coordinate with external service providers, including marketing and communications partners, to help execute Saveur NB's activities
  • Maintain and support data and communications via CRM, online member portal, email and internal communications platforms, as well as digital and physical filing systems
  • Occasionally travel within New Brunswick and support events outside regular work hours

Qualifications

  • Experience in administration, coordination, and operations, ideally in a not-for-profit, social enterprise, startup, or mission-driven environment
  • Strong writing and documentation skills; able to prepare process documents, reports, proposals, and internal resources
  • Demonstrated experience with cloud-based tools (such as Google Workspace, QuickBooks Online, CRM platforms, etc)
  • Ability to manage multiple projects and tasks simultaneously with speed, accuracy, and minimal supervision
  • Bilingualism in English and French is required
  • Knowledge of or interest in New Brunswick's food & beverage, community economic development, or social enterprise sectors is a strong asset
