PSA Halifax is recruiting for an Executive Administrative Assistant
PSA Halifax Limited Partnership (PSA Halifax) is a container terminal operator owned and operated by PSA International. This position offers an exciting opportunity to be part of a highly successful and leading container terminal operation in the East Coast of Canada.
Purpose:
The primary function of the Executive Administrative Assistant is to support the Senior Managers of PSA Halifax by providing high-quality administrative and clerical assistance to both the managers and the PSA Halifax offices.
Principal Accountabilities
- Organize, schedule and manage travel itineraries, hotel accommodations, and transportation requirements for members of the Senior Management Team and out-of-town visitors to PSA Halifax;
- Prepare and execute expense claims for members of the Senior Management Team;
- Prepare and distribute meeting agendas in a timely manner;
- Order and manage office supplies for all three PSA Halifax locations, ensuring inventory is consistently maintained.
- Accountable for planning, coordination, and managing logistics of meetings requested by Senior Management;
- Administer the main parking account for PSA Halifax employees, including tracking, updates, and record management.
- Provide event planning and coordination support to the Commercial Team;
- Assist with the preparation of purchase orders and entry of shopping lists as required;
- Provide administrative assistance to Human Resources and HSSE;
- Perform other administrative and clerical duties as assigned to support daily operations across PSA Halifax offices.
Critical Qualifications/Skills/Experience
- Must have experience arranging various areas of travel (domestic/international, business/holidays, group/individual);
- Proven verbal and written communication skills;
- Ability to multitask;
- Strong organizational, planning skills with exceptional attention to detail and accuracy.
- Demonstrated ability to meet deadlines in a fast-paced quickly changing environment with a proactive approach to problem-solving and strong decision-making skills.
- Professional and friendly demeanor;
- Reliable and task-oriented, self-motivated and professional.
- Experience exercising discretion and confidentiality with sensitive company information.
- Two years proven experience as an Executive Administrative Assistant reporting directly to Senior Management;
- Advanced Microsoft Office skills with an ability to become familiar with company-specific programs and software (Outlook, Word, Excel, PowerPoint, SharePoint, OneDrive).
