The Deans' Office at Mount Saint Vincent University invites applications for the position of Office Assistant.

Responsibilities

Reporting jointly to the Dean of Arts and Science and the Dean of Graduate and Professional Studies, the Office Assistant provides reception services within the Deans' Office by responding to requests for information from students, academic and administrative departments and the public. The Office Assistant also performs administrative tasks such as accessing information from Colleague, maintaining class cancellation information, assisting with convocation, coordinating the course evaluation process, coordinating the review of part-time faculty and maintaining the department website. The Office Assistant also provides administrative support to the Deans, the Deans' Administrative Assistants and the Office of Graduate Studies.

Qualifications

A two-year community college diploma in Business Administration or equivalent, and a minimum of two years' experience are required. Previous experience working in an academic environment is considered an asset. The preferred candidate will have exceptional interpersonal skills and is approachable and reliable. Additional requirements include: superior time management, strong verbal and written communication skills, demonstrated problem solving/analytical abilities, proven organizational skills, demonstrated ability to work and multi-task in a very busy environment, and strong customer service skills. Given the confidential and personal information that flows through the Deans' Office, ethical and principled behavior is absolutely necessary. Candidates should be proficient in the use of Microsoft Office Suite (365), and have an aptitude for, or previous experience, using business enterprise systems such as Colleague, Banner, PeopleSoft, etc.
