Faculty of Engineering and Applied Science

(Contractual Position to May 10, 2028)

DUTIES

Reporting to the Associate Dean (Research), the successful candidate will work closely with the Associate Dean (Graduate Studies) and the Senior Administrative Officer on pre-application and post-award compliance processes. The successful candidate will have administrative responsibilities associated with research and development within the Faculty of Engineering and Applied Science (FEAS). Duties include supporting the Associate Dean (Research) to review applications; assisting with the preparation of letters of intent and management of post-award processes for all successful grants, contracts, and awards administered in FEAS; and assisting the VPR's Office in the negotiation/execution of contracts and agreements (including MOU's, Research Participation Agreements (RPAs) and NDAs); overseeing issues related to intellectual property (IP), commercialization, and the leveraging of industry funds; executing projects, including managing and monitoring contractual restrictions, as well as those related to IP, clearances, controlled goods, and other post-award requirements; reviewing and assisting in the approval process related to grant agreements and contracts received from public/private funders; tracking and assisting in the completion of sign-offs for contracts and agreements; ensuring compliance with all contractual obligations, including those related to confidential information; ensuring final reports are submitted for project close-out; tracking the post-submission and prior to award for proposals and applications; expediting the disposition and updating of submitted proposals, as needed; facilitating project kick-off and progress meetings with faculty members; ensuring compliance with all applicable Memorial and FEAS policies; working collegially with faculty to support/assist them in submitting applications and identifying funding opportunities; working closely with the successful principal investigator(s) to align the requirements/expectations of funding agencies and FEAS; liaising with internal offices such as Research Initiatives & Services (RIS) and the Research Innovation Office (RIO); assisting the Associate Dean (Research) in engaging with potential external funders; facilitating post-award processes of grants/contracts to complete budgetary reporting, in compliance with the requirements of funding agencies; and in consultation with the principal investigator, Financial and Administrative Services (FAS), and the FEAS finance office; assisting with the development and delivery of training sessions for researchers; assisting in gathering data for performance metrics and benchmarking; ensuring clearance for publicity of awards; and performing other related duties as required.

QUALIFICATIONS

Experience (3-5 years) in research administration or research project management work, particularly in regards to ensuring compliance with contractual obligations and in dealing with intellectual property and commercialization, in a research setting; graduation with a Master's degree (preferably in Engineering or Business); or any equivalent combination of experience and training. The successful candidate will have a proactive approach with strong analytical and organizational skills; the ability to function effectively under pressure in a diverse academic/research community; excellent written and verbal communications skills; excellent inter-personal and teamwork skills; and excellent computer skills. The successful candidate will be a motivated sell-starter who can creatively solve problems and work collaboratively/embrace challenges. Past experience as a researcher in a team environment and the ability to manage competing priorities in a high volume, deadline driven environment, would be considered assets.

SALARY $63,009 - $86,042 per annum (Management and Professional)
