The Finance Team manages the performance and risk profile of Bell, ensuring the needs of customers, investors and employees are balanced with long-term business success. We work closely with internal and external stakeholders to develop and execute plans that help the company achieve its strategic objectives and ensure financial sustainability.

Summary

As Executive Assistant, you will assist the team by providing full administrative duties. In this role, you will represent the department to both internal and external contacts. Much of the work performed requires discretion and thorough knowledge and appreciation of the Executive's functional area. Experience and knowledge of the Bell Canada administrative & HR systems, tools and processes is a definite asset.

Reporting to the VP, Assistant Controller, the successful candidate will manage the VP office and multiple directors in day-to-day support as well as providing oversight support to 2 administrative assistants.

Key Responsibilities
  • Executive schedule management: planning and management of the calendar including meetings, conference calls, events and logistics with both internal and external clients;
  • Manage incoming communications as calls, requests and mail/messages for appropriate action;
  • Manage and coordinate travel itineraries and bookings;
  • Manage and complete expense reports; including and sourcing cost-effective purchases and practices;
  • Coordinate & prepare business documents including generating reports and maintaining digital and physical master filing system;
  • Accurately process time-sensitive human resources movements and transactions in the system;
  • Responsible for space planning, desk coordination, managing and provisioning office supplies for the department;
  • Develop and implement process improvements to maximize departmental efficiency;
  • Coordinates team events as required;
  • Manage special projects and other duties as assigned.
Critical Qualifications

The successful candidate should be highly proactive, enthusiastic and collaborative, with proven administrative experience at the executive support level.

  • Professionalism and exhibiting good judgement in representing the office of the executive.
  • Strong interpersonal skills and excellent written and verbal communication skills.
  • Demonstrate ability to maintain the strictest confidentiality.
  • Team player, collaborative and looks to strengthen the environment with a winning attitude.
  • Proficient organization, planning, scheduling and time management skills
  • Display initiative and anticipate the needs of a busy executive and team.
  • Understand key components of human resources administration
  • Must have a strong working knowledge of MS Office Tools.
  • Bilingualism English and French; In the course of their duties, this person will be required to interact with French & English speaking stakeholders across Canada
Preferred Qualifications
  • Post secondary formal training plus administrative experience
  • Experience supporting multiple stakeholders at an executive level is an asset
