About the Role

The Sales Executive Assistant plays a pivotal role in streamlining and enhancing the efficiency of sales processes within our brokerage. This multifaceted position involves overseeing the entire spectrum of sales operations, from managing onboarding processes to coordinating training programs and analyzing performance metrics. The incumbent will be responsible for executing various aspects of sales operations, including recruitment initiatives and the consolidation of efforts to drive success within the brokerage.

What's Involved

AIT Agent Group Management:

  • Oversee and guide agents during their initial 30 days with the brokerage.
  • Ensure a smooth onboarding and offboarding process for new agents, handling paperwork, conduct orientations, and administrative tasks efficiently to ensure a smooth transition into the brokerage.

Training Coordination:

  • Schedule and contribute to training sessions, as well as maintaining training decks, this role ensures that agents receive comprehensive tools and knowledge to excel in their roles.

Performance Reporting:

  • Generate and analyze reports on agent performance and statistics for the Board of Realtors (BOR) and all Branch Managers.

Recruitment Initiatives:

  • Manage agent recruiting initiatives, including conducting agent interviews.
  • Lead distribution, assignment, and tracking during the recruitment process.
  • Lead consolidation efforts within the brokerage.

Content and Request Management:

  • Manage exterior photo and floorplan requests from agents.
  • Handle Mortgage/Sell Page Submission Forms.
  • Respond to website visitor queries and promptly remove listings as requested.

Learning Management System (LMS) Oversight:

  • Responsible for the agent LMS, including adding content, creating learning paths, and ensuring effective agent onboarding.
  • Create content for LMS, including new paperwork templates when necessary.

Event Coordination:

  • Assist in organizing social events for agents (e.g., dinners, socials, Top Producer Trip, etc.).
  • Contribute to the planning and execution of summer and holiday parties, including creating presentations and arranging awards.

Web Support and Social Media Monitoring:

  • Act as the first point of contact for emails sent to Web Support and CRM emails.
  • Monitor posts on the company Facebook group for system-related questions or complaints.

Marketing Assistance:

  • Complete basic marketing tasks as needed.

Ad Hoc Responsibilities:

  • Undertake any other duties as assigned by the Head of Sales to contribute to the overall success of the brokerage.

Talent Specs

  • 3+ years proven experience as an executive assistant, administrator, office assistant.
  • Experience working within the real estate industry an asset.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proven ability to handle confidential information with discretion.
  • Familiarity with technology, people management, and conflict resolution.
  • Experience in event coordinator and relationship management.
  • Understanding of adult learning, training methodology & experience working with a learning management systems (LMS).
  • Ability to work in-office in the Distillery District Monday to Friday, 9am-5pm, 3 days per week.
