THE ROLE

The Senior Property Management Administrator role works closely with the Property Management team to ensure the operational and administrative functions of the assigned portfolio are running seamlessly. The ideal candidate for this role is people-focused, highly organized, and brings exceptional interpersonal skills.

RESPONSIBILITIES

  • Collaborate with Property Managers, Property Management Administrators, and the Building Operations team to ensure best in class service to Low Tide's tenants and stakeholders.
  • Support day-to-day operations of the properties.
  • Maintain positive relations with tenants.
  • Assist with education and training program for department, including tracking completion certificates and budgetary spend.
  • Handle communications with suppliers to ensure that all required services are being performed.
  • Assist with the tendering process for supplies and services and coordinate the scope and tendering of contracted services.
  • Assist in financials and accounting relating to each property as required.
  • Manage and maintain emergency on-call program, including scheduling and on-call binder updates.
  • Create and maintain comprehensive project documentation filing system including plans, schedule, and reports.
  • Provide administrative support by prepping written correspondence, accounts receivable, operational reports, presentations, expense reports, invoice coding, service contract tracking, filing, scheduling, maintaining vacation records.
  • Update vendor logs, contract amounts, renewals, and expiry dates.
  • Maintain contact lists, vendor and fire warden lists, emergency call out lists.
  • Manage insurance information for tenants and vendors to ensure compliance with leases and corporate practice.
  • Assist with energy reduction and sustainability programs on designated properties.

QUALIFICATIONS & REQUIREMENTS

  • 3+ years of experience administering a mixed portfolio of office, industrial, retail, or multifamily properties in the capacity of Property Administrator.
  • Post-secondary education in Real Estate or relevant field is an asset.
  • Strong computer skills and proficiency in Yardi, Angus, MS Teams, Outlook, Excel, Word, and SharePoint applications.
  • Excellent organizational, time management and prioritization skills.
  • Strong understanding of business professionalism and the ability to work effectively under pressure within a fast-paced team environment.
  • Exceptional verbal and written communication skills.
  • Meticulous attention to detail, ensuring that operational and financial aspects of the properties are meticulously managed.
  • Holds oneself to the highest level of integrity, accountability, and performance standards.
  • Flexibility to adapt to changing market conditions, tenant needs, and unexpected challenges.
