POSITION OVERVIEW
Soluroc is seeking an organized and personable Customer Service & Order Entry Coordinator to join our team on-site in Cobourg, Ontario. This role is the front line of the customer experience — managing order entry, preparing customer quotations, coordinating vendor purchase orders, and providing day-to-day office administration support. The ideal candidate is detail-oriented, comfortable working within an ERP system, and enjoys balancing customer-facing communication with behind-the-scenes coordination between sales, production, and vendors.

DUTIES & RESPONSIBILITIES
- Compare customer pricing against quotes and current selling prices to ensure accuracy and consistency.
- Use price lists and purchase information to create accurate and timely customer quotations.
- Answer and respond to customer phone calls and email requests in a professional and courteous manner.
- Run reports within the ERP system to generate vendor purchase orders.
- Follow up with vendors to confirm purchase details, including pricing and lead times.
- Communicate with the production team regarding the status of customer and vendor orders.
- Create general flyers, posters, and announcements for the site as requested.
- Answer incoming phone calls and greet visitors to the office.
- Perform additional duties as assigned.
QUALIFICATIONS & SKILLS
- 1–3 years of experience in customer service, order entry, or an administrative support role, ideally within a manufacturing, industrial, or distribution environment.
- Experience working within an ERP system (e.g., for order entry, quoting, and purchase order generation) is an asset.
- Strong verbal and written communication skills, with a professional and friendly phone manner.
- Excellent attention to detail and accuracy, particularly when comparing pricing and preparing quotations.
- Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced office.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new software tools.
- A collaborative, team-oriented approach, with the ability to liaise effectively across customers, vendors, and internal production teams.
- Basic graphic/desktop publishing comfort for creating flyers and announcements is an asset.
WORK ENVIRONMENT
This is an on-site position based at our Cobourg, Ontario location. Remote or hybrid work is not available for this role. The successful candidate will work from our office, interacting directly with visitors, staff, and the production floor as needed.
