Overview and Purpose of the Role
Reporting to Senior Buyer, the Receiving and Logistics Clerk plays a key role in ensuring the smooth flow of goods and information within our operations. This position is responsible for receiving shipments, coordinating logistics activities, maintaining accurate inventory records, and supporting clerical and administrative functions. The ideal candidate is detail-oriented, organized, and comfortable working in both warehouse and office environments.
Key Duties & Responsibilities:
Receiving & Logistics
Receive, inspect, and sort incoming shipments of medical products, parts, and supplies
Process incoming deliveries and enter shipment data accurately into the Meditech system
Deliver department-specific orders, ensuring proper handoff and requesting signatures upon receipt
Handle outgoing shipments and process returns from departments
Maintain cleanliness and organization of storage areas and supply carts
Adhere to WHMIS and workplace safety standards for all materials handling
Inventory & Records Management
Accurately fulfill and deliver requisitions for stock items from inventory
Monitor stock levels and proactively report shortages, overstock, or discrepancies to the Manager
Rotate stock using the FIFO (First In, First Out) method to manage expiry dates effectively
Track and monitor expiry dates for all inventory supplies and items in supply carts
Perform regular scanning, counting, picking, and replenishment of supply carts
Assist in regular stock and cycle inventory counts
Maintain supply carts in an orderly, well-stocked, and clean condition according to manager-designated layouts
Clerical & Administrative Support
Accurately enter inventory and shipment data into Meditech and other tracking systems
Obtain and record signatures for departmental order deliveries
Support documentation and tracking for inventory returns and outgoing shipments
Perform additional clerical tasks and assist with special projects as assigned by the Manager
Corporate Responsibilities:
- Participate in all mandatory training requirements and work in compliance with the Occupational Health and Safety Act and Regulations, company Policies and Procedures, as well as established industry guidelines
Skills & Qualifications:
Minimum Secondary School Diploma required
- Minimum of 3 to 5 years of related experience in a healthcare or medical supply setting is considered an asset
Experience with inventory scanning tools, handheld devices, or barcode systems is an asset
Comfortable working with numbers, including basic calculations, inventory counts, and data entry
Excellent verbal and written communication skills
Strong organizational and time management skills
Effective interpersonal skills, with the ability to work collaboratively in a team environment
Demonstrated ability to make sound decisions related to daily tasks within established guidelines and procedures
Proven ability to work independently on moderately complex tasks with minimal supervision
Ability to exercise discretion and sensitivity when handling confidential information
Ability to lift up to 50 lbs.
Computer proficiency in MS Office (Word, Excel, Outlook)
Satisfactory passing of a criminal record check/vulnerable sector check
Provide proof of Immunization and TB records
