The Opportunity

VistaVu is seeking a Administrative Assistant to join our Marketing team. The successful candidate will be responsible for maintaining clean, accurate, and up-to-date records within HubSpot and support the marketing team with essential administrative functions. This role ensures data integrity across systems, enabling informed decision-making, effective lead tracking, and smoother campaign execution..

What will you be doing?

  • Perform daily data entry and data hygiene tasks within HubSpot (e.g., deduplication, updating contact records, verifying account info).
  • Execute administrative marketing support tasks (e.g., uploading documents, updating campaign tracking sheets).
  • Monitor and maintain internal documentation (e.g., SOPs, CRM usage guidelines).
  • Flag inconsistencies and collaborate with team members to improve database and process accuracy.
  • Assist with basic report generation and dashboard upkeep under direction.
  • Support the execution of marketing operations as needed, including scheduling, asset management, and basic email list prep.

What experience do you need?

  • 1+ years of experience in administrative roles or data entry.
  • Familiarity with CRM systems (preferably HubSpot, but others accepted).
  • Strong attention to detail and consistency in repetitive tasks.
  • High comfort working with spreadsheets and digital tools. Potential to learn light marketing operations (e.g., campaign scheduling, form tracking).
  • Exposure to broader marketing workflows and tools for professional growth.
  • Detail-Oriented: Catches errors, maintains clean records, and ensures accurate entry.
  • Accountable: Follows through on assigned tasks independently and reliably.
  • Organized: Keeps systems and files structured for ease of access and reference.
  • Process-Driven: Follows SOPs and looks for improvements to streamline routine tasks.
  • Team Player: Supports others without need for constant direction; receptive to feedback

  • HubSpot (basic to intermediate level)
  • Microsoft Excel / Google Sheets
  • Data entry & quality control
  • Task tracking (e.g., via project management tools like Trello, Asana, or ClickUp)
