Role & Responsibilities:

Payroll Processing: The primary responsibility of a payroll coordinator is to process payroll accurately and on time. This involves collecting and verifying employee timekeeping records, calculating wages and deductions, and generating paychecks or electronic transfers.

Data Management: Payroll coordinators are responsible for maintaining accurate employee records related to wages, benefits, tax withholdings, and other relevant information. They must ensure that all data is updated regularly and securely stored.

Compliance and Reporting: Payroll coordinators play a critical role in ensuring compliance with federal, state, and local labor laws and regulations. They are responsible for accurately calculating and withholding taxes, preparing tax filings, and providing necessary reports to government agencies.

Benefit Administration: In collaboration with the HR department, payroll coordinators may be involved in administering employee benefits programs such as health insurance, retirement plans, and paid time off. They help ensure that employee benefit deductions and contributions are accurately reflected in payroll.

Audits and Reconciliations: Payroll coordinators are often involved in internal and external audits to ensure accuracy and compliance. They may also conduct regular reconciliations of payroll records, bank statements, and other financial documents to identify and resolve discrepancies.

Communication and Customer Service: Payroll coordinators interact with employees, managers, and external vendors regarding payroll-related inquiries and issues. They must provide clear and timely communication, address concerns, and provide excellent customer service while maintaining confidentiality.

Accuracy Rate: Accuracy in payroll processing is crucial to ensure correct employee compensation, tax withholding, and benefit deductions. Measuring the accuracy rate, such as the percentage of error-free paychecks or tax filings, can indicate the payroll coordinator's attention to detail and adherence to established processes.

Timeliness of Payroll Processing: Payroll coordinators should strive to process payroll within established timelines to ensure employees receive their wages on time. Measuring the timeliness of payroll processing, such as the average turnaround time from collecting data to disbursing payments, helps evaluate the coordinator's ability to meet deadlines.

Compliance Audit Results: Regular audits are conducted to ensure compliance with employment laws, tax regulations, and internal policies. Monitoring the results of compliance audits can provide insights into the payroll coordinator's ability to maintain accurate records, adhere to legal requirements, and identify areas for improvement.

Team Member Satisfaction: Gathering feedback from Team Members regarding the payroll process can gauge their satisfaction levels. Conducting surveys or feedback sessions to measure employee satisfaction with payroll accuracy, timeliness, and responsiveness can reflect the effectiveness of the payroll coordinator in meeting employee needs and addressing concerns.

Cost Efficiency: Monitoring the cost efficiency of payroll operations is essential to optimize resources and reduce expenses. Key metrics to consider include the cost per paycheck processed, the ratio of payroll costs to total labor costs, or the reduction in processing costs achieved through automation or process improvements.

Must be Proficient in:

  • Microsoft Office Tools - Excel, Word, Outlook
  • Accounting Software knowledge
  • Must have basic accounting knowledge
  • Must have payroll knowledge through several payroll courses or through experience in payroll
  • Must have Pay Works Experience
  • Union Experience would be an asset

Compensation:

The compensation range for the Payroll Coordinator position at the Applewood Auto Group is between $52,000 to $60,000 annually. The final compensation offered will be determined based on the candidate's knowledge, skills, and experience in payroll, as well as other relevant factors. Please note that this range is provided as a general guideline and may vary depending on the qualifications and expertise of the selected candidate.
