We are seeking a detail-oriented and reliable Accounts Payable / Accounts Receivable (AP/AR) Clerk to join our team on a part-time basis. This is a flexible hybrid role that can be structured based on your life and commitments. You'll be responsible for processing and maintaining accurate financial records across payables and receivables, with reviewed oversight and a strong emphasis on accuracy and reconciliation.

Key Responsibilities

Accounts Payable:

  • Review and verify accuracy of invoices and supporting documents
  • Ensure proper approval and documentation prior to payment
  • Schedule payments and initiate outgoing checks or electronic transfers
  • Maintain vendor accounts, reconcile statements, and resolve discrepancies
  • Calculate and verify applicable sales taxes

Invoicing and Accounts Receivable:

  • Create draft invoices pulled from inventory management system
  • Record incoming payments and monitor receivables
  • Ensure timely follow-up and reconciliation

Expense Reporting:

  • Process employee expense reports and perform audits for accuracy
  • Ensure alignment with company policy before submission for review

General Ledger and Documentation:

  • Reconcile processed work by verifying entries and comparing system reports
  • Maintain accounting ledgers by verifying and posting transactions
  • Maintain historical financial records in an organized filing system

Other Tasks:

  • Initiate payments through online banking platforms
  • Support basic inventory accounting tasks (via Unleashed)
  • Interface with senior staff for multi-level review and approval

Requirements

  • 2+ years of experience in an AP/AR, bookkeeping, or similar finance role
  • Proficiency in accounting software: Xero, SAGE, or QuickBooks
  • Comfortable using MS Excel and digital accounting tools
  • Experience with inventory systems
  • Strong attention to detail and organizational skills
  • Ability to work independently with minimal supervision
  • Reliable and able to manage deadlines within a flexible schedule
